You will be working within the sales team and responsible for ensuring the growth and development of the conference and events business. Actively contributing to achieving and exceeding budgeted revenues, your role will involve reservations, responding to enquiries for conferences and events, coordinating all administrational requirements, communicating with event organisers and guests and liaising with the management team to ensure a seamless transition of information from the sales office to other departments. From time to time, you will be required to support the Wedding Coordinators to ensure all areas of the business are managed effectively.
**Responsibilities**:
- Working with 3rd party agencies as well as direct business.
- Communicate effectively with the rest of the team at all times. To answer all inbound calls promptly, and log effectively all enquiries.
- Liaise and develop with auxiliary suppliers good relationships to help the clients and hotel receive excellent service.
- Prepare function sheets for the Events Meeting weekly and ensure clear communication between other departments.
- Inform other members of the meetings and events team immediately of any new information provided in weekly Events Meetings.
- To conduct site inspection appointments for all prospective clients and up-sell all aspects of the estate to them.
- Follow up all provisional bookings efficiently and within the expected time frame.
- Liaise effectively with the finance department to ensure payments are chased and invoices issued.
- Producing accurate quotations to all new enquiries.
- Work with the Food & Beverage team to ensure the smooth running and execution of events on site
- Support Sales Director with organising FAM visits as required
- Provide accurate reporting to the Sales Director of pipeline business, hot leads, and potential new business opportunities
- Ensure appropriate and relevant exposure for hotel events and brochures
- Attend networking events, and external exhibitions for direct and indirect business as required
