**Attendance & Data Management Administrator**

**Post Title**: Attendance & Data Management Administrator
**Hours**: 32.5 hours per week, 8.00am - 3.00pm Monday -Friday, 37.8 weeks (term time only)
**Grade**: PS.5 Point 1

Line Manager: Deputy Headteacher

Overall responsibility
Work alongside key school staff and the Inclusion Service to reduce levels of unauthorised absence and promote whole school attendance strategies. To work with children and families to improve levels of attendance for both Broadmere and New Monument School.

Data Management/Arbor
To complete statutory returns as required (including end of Key Stage Assessments and Census).
To be responsible for managing and maintaining Arbor with regard to all pupil records - including admission forms and updating and maintaining data collection sheets.

Deputy Designated Safeguarding Lead (with a focus on attendance)
The DDSL will take responsibility for safeguarding and child protection across the school (including online safety). They will take part in strategy discussions and inter-agency meetings and contribute to the assessment of children.

They will advise and support other members of staff on child welfare, safeguarding and child protection matters, and liaise with relevant agencies such as the local authority and police.

Office
The Attendance Officer may also act as the initial point of contact for parents, visitors and other stakeholders so will be an ambassador for the school and embody the values, vision and ethos of the school in all interactions. Process ID checks for all visitors in accordance with the school’s safeguarding procedures ensuring everyone is signed in and out and wearing the appropriate identification. To operate the school’s phone system, answer the telephone efficiently and in a courteous manner dealing with all enquiries appropriately. To assist with general administration tasks as instructed by the Office Manager/School Business Manager whenever necessary.

Administration
▪ Ensure daily attendance registers are accurate and complete, and follow up with staff members about any incomplete data

▪ Follow up on any unexplained absences with parents/carers, escalating issues as appropriate in line with school procedures

▪ Initiate and oversee the administration of absence procedures, for example letters home, attendance meetings and engagement with local authorities/other external agencies and partners

▪ Manage attendance returns for the school census

▪ Manage the process of issuing penalty notices to parents

▪ Maintain accurate records of communications with parents/carers and relevant interventions

▪ Build and refresh knowledge of the school’s MIS and other relevant systems

Monitoring and reporting
▪ Produce and interpret attendance reports for school leaders, identifying key statistics, reasons for absence and any patterns of concern

▪ Track attendance of vulnerable groups of pupils and share information with school leaders

▪ Identify pupils/families that need additional support to improve their attendance

▪ Work with school leaders to identify appropriate interventions to improve attendance for particular groups or individual pupils

▪ Lead daily or weekly check-ins to review progress and the impact of support/interventions

▪ Work with school leaders to develop and revise the school’s attendance policy

▪ Implement children missing education (PMOOE) procedures when appropriate

▪ Provide regular reports to attendance organisations to raise awareness of emerging at-risk pupils

Working with parents/carers
▪ Coordinate meetings with pupils and parents/carers to implement interventions and track progress

▪ Build positive relations with parents/carers to encourage family involvement in their child’s attendance

▪ Identify and, where possible, mitigate potential barriers to attendance in partnership with families

▪ Carry out home visits, where necessary, to address attendance concerns for individual pupils

▪ Take opportunities to build the appropriate skills, qualifications, and/or experience needed for the role, with support from the school

▪ Read and follow the relevant school policies

▪ Ensure all duties and responsibilities are undertaken in line with the school’s health and safety policy

▪ Take part in the school’s appraisal procedures
