General Responsibilities

Overseeing the production and distribution of proforma/draft invoices at the beginning of the month together with WIP/AR reports for London office

Monitoring and working with remote billers to ensure that all SRA and VAT rules are followed

Assist with Proforma Tracker (Firm’s software to assist partners/others to self-edit bills) and work closely with the Partners and secretaries that Proforma Tracker is being used

Review such prepared invoices and approve for processing

Draft and finalise multi-currency invoices for London offices - Assist with uploading e-bills onto BillBlast software and handling the rejections of invoices and monitoring status of matters that have been e-billed

Responsible for the collection of debts through direct contact with Partners, fee earners and clients - Issue credit notes when required and adhere to VAT regulations

Attend regular meetings with Partners/others to discuss billings, accounts receivable, and escalating areas of concern where necessary

Analysis of debtors to highlight payment patterns and potential areas of concern - Liaising with the cashiering team with regards to queries relating to allocation of receipts to client bills

Coordination of write offs of non-billable WIP and non-collectable debtors and obtain the relevant approvals when necessary

Provide regular (weekly) billing and collections updates to the London Head of Finance

Responsible for resolution of aged WIP-WIP & AR valuation as at each year end for UK tax purposes

Monthly telephone conference with the Worldwide Director of Billing and Collections and other European Offices

Assisting on queries relating to time recording and making changes as requested

Ensure prompt follow up of all pending items such as time/disbursement transfers, credit notes, write offs and general queries
- Liaise directly with partners on rate agreements, outstanding WIP & AR - ensure that charge out rates are updated on all matters post year end

Communicate any client/matter changes with US - Review engagement letters on new matters to ensure matters are set up properly

Liaise with US with regard to rate agreements and discounts

Ensure all London/overseas matters are set up correctly with correct tax codes, rate agreements

Understand and advise VAT rules on International Arbitration matters (where acting as chairman/vice chair of tribunal)

Preparing monthly cash receipts forecast for the UK Head of Finance and those preparing daily cash updates

As requested to assist on budgets on matters and preparing costs information for clients/matters for hearings

Prepare weekly WIP and AR information to a UK Practice Group

Prepare quarterly output VAT for sales to European offices

**Required Skills**:
Use of 3E accounting system

Thorough knowledge of Solicitors Accounts Rules and UK VAT rules

Previous supervisory experience

Proficient in Microsoft Office Applications

Ability to deal with time critical issues all levels

Deal with multi-currency billing Hours of work 35 hour week with a need for a flexible working pattern to meet the requirements of the Firm and clients, normally based on 9:30 to 17:30

Hybrid working arrangement; 3 days in the office and 2 days off site
