**The Role**

We are looking for someone to provide efficient and effective high level secretariat support to the CentreStage Board, Chief Executive and Executive Team. Supporting the CEO and the Board in maintaining key external relationships. Working as a team member, ensuring all aspects of the administration, planning and coordination of the executive work streams and the constituent sub-committees are managed effectively and efficiently.

In your experience, you will have a reputation for being highly organised and dependable, and having an ability to communicate effectively across the breadth of the organisation. CentreStage is a fast-paced organisation and as such your ability to respond to competing priorities and demands and your adaptability will be an asset in influencing and interacting with colleagues and stakeholders.

**Duties and responsibilities**

1. To act as board secretary for the Trustee Board and constituent subcommittees
- Provide a secretariat service to the Trustees, supporting the Chair in the smooth running of board and committee administration - including, co-ordinate Board meetings and write up minutes and assist in the preparation of Board and Trustees Meetings reports.
- Support the CEO and committee chairs in ensuring adherence to the charity’s governance framework.
- Coordinate the collation and issue of papers for the Board and committees, working closely with the designated senior content lead for each meeting.
- Support the CEO to ensure timely and well-planned follow-up and resolution to points raised in board and committee meetings.
- Maintain a central register of key governance documents and ensure that they are easily accessible to both senior staff and Trustees.
- To respond to Board member and other stakeholder queries in a timely and professional manner, both orally and in writing.

2. To provide a comprehensive administrative support to the CEO and Executive Team.
- Maintaining and organising diary, filing system and all other relevant areas as necessary.
- To support the Chief Executive in projects, proposals, bids, through research, consultation, team-management.
- To draft, project proposals as requested by the CEO.
- To schedule and facilitate meetings, so follow up action can be implemented.
- To maintain the complaints file and ensure all complaints are responded to within target timescales.
- To liaise positively and professionally with colleagues and visitors.
- Any other duties commensurate with the accountabilities of the post.

**Person Specificaiton**

**Qualifications and Experience**
- Educated to degree level standard or equivalent.
- Two years previous experience in a similar role.
- Excellent communication and teamwork skills across a wide demographic of age, stage, and ability.

**Skills**
- Excellent IT Skills, including use of ICT packages i.e., Word, Excel, Power point, Access.
- Strong interpersonal skills with an approachable personality.
- Excellent letter writing and organisational skills.
- Excellent communication skills

**Knowledge**
- Good knowledge of health and employment initiatives
- Good knowledge of database systems and processes
- Clear understanding of Data protection and confidentiality
- Health & Safety Legislation

**Ability**
- Ability to work under pressure to agreed deadlines and adapt to change.
- The ability to pay high attention to detail.
- Ability to work in a flexible manner.
- Excellent written English and the ability to communicate at all levels.
- Ability to represent the company externally with key stakeholders.
