Reception Team Coordinator

Working for an Insurance firm in the City, I am looking for a Reception Team Coordinator. You may currently be a receptionist looking to gain more team amin experience or you may be looking for a role to start your career in a team administration position
- this is the role for you

**Reception duties-**

Booking in visitors to building security system, meeting, and greeting them on arrival

Managing booking and set up of meeting rooms

Managing front door security

Arranging for catering for meetings and office, make restaurant bookings

Superuser of telephone system, taking and directing calls through a switchboard

Completing administrative tasks such as delivery and accepting mail

Booking taxis when required

Maintaining telephone details in company and building emergency contact system

**General Administrative Duties**:
Arranging domestic and international travel activities including visas, flights, and accommodation

Managing expense claims for Senior Leader

Ordering office printing supplies such as business cards and headed paper

Ordering of refreshment and stationary supplies

Point of contact for use of archiving supplier

Absence approver in HR system for some team members

Conduct office induction as part of the onboarding process

**Facilities duties-**

Ensure everything runs smoothly within the office and raise to management when appropriate

Main administrative point of contact for landlord including attending tenant meetings

Booking of maintenance services when required

Processing of facilities related invoices

Health and Safety (H&S) duties including fire safety induction for new joiners, maintain fire warden and first aid records, owner of office accident book, conduct H&S monthly floor checks and maintain H&S notices

Ordering of office furniture and equipment when necessary

Point of contact for office cleaning company

**Other-**

To perform all duties in line with FCA Individual Conduct Rules and documented in the Employee Handbook

Any other duties as reasonable required
