**Job description**:
The DBS Secretariat has two roles: 1) responsibility for co-ordinating and drafting responses to Ministerial briefing requests, Ministerial correspondence, parliamentary questions, and Freedom of Information Requests, and 2) supporting the monthly DBS Board and quarterly Customer Board both chaired by the Chief Executive.

As one of four assistant team leaders, this is a high-profile post primarily acting as the Secretary to the boards engaging with senior leaders and facilitating strategic decision making and monitoring of action delivery through the timely preparation of agenda, commissioning and distribution of actions and papers and maintaining accurate records of meetings. Secondary will be taking ownership of more complex and problematic cases and drafting correspondence or briefs.

Key to success will be the ability to work in a fast-paced environment, to engage with members of the Executive Leadership team and Subject Matter Experts and across the department and to establish effective and beneficial relationships. Close liaison with the Chief Executive’s office will be necessary and there may be opportunity to support or provide cover during periods of absence.

You will:

- Directly manage one AO Administrative Officer
- Act as secretary to the DBS Board and Customer Board by maintaining a forward look of business agreed with the Chief Executive, preparing agenda, commissioning and distribution of actions and decision papers, the taking of minutes and maintaining accurate records.
- Oversee support to the three Non-Executive Directors including onboarding, recording of declarations of interest, and scrutiny of pay and expenses.
- Deal with Requests for Information (on DBS owned and managed information) in accordance with the Freedom of Information (FOI) Act and the Environmental Information Regulations (EIR).
- Draft as necessary formal responses to Ministerial correspondence or briefing requests, ensuring that Parliamentary, political and presentational aspects of Ministerial submissions are given full consideration.
- Ensure that all business is handled in a timely, accurate and balanced way meeting Departmental targets.
