**Overview of project/role**:
This role supports the Senior Business Partner ,Training Support and Apprenticeships and delivery teams by supporting delivery against approved processes to ensure that the department remains compliant with OFSTED (Office for Standards in Education, Children's Services and Skills), accredited award bodies (National Occupational Standards, NOS), Office of Rail and Regulations (ORR) and Transport for London/London Underground standards for Teaching, Learning, Coaching, Assessment and competence management.

The post holder will work with others in supporting the successful outcomes delivery of apprentice schemes and professional qualifications by managing training records, scheduling, reporting, levy draw down and departmental spend as needed and in a timely manner.

This role will support identifying and implementing improvements to the current apprentice processes and systems to reduce the admin burden for the department.

**Key Accountabilities**
- Support reporting Senior Business Partner Training Support and Apprenticeships to keep senior management informed on progress. Support Quality Standards Manager to deliver against agreed departmental targets through monthly levy draw down of funds, annual uploads and other associated financial reporting as needed.
- Monitor, maintain and manage records for all Employer Provider, Assessment Centre and awarding body requirements, e.g. City and Guilds(C&G), EAL(Excellence, Achievement and Learning), etc. to ensure compliance
- Carry out and monitor learner registrations and enrolment processes and claim certificates for qualifications using systems, e.g. Walled Garden, in a timely manner.
- Support Teaching Learning Assessment Manager’s with scheduling. Maintain training schedules, liaising with stakeholders/customers as needed. Create courses in SAP system and book external training as needed.
- Manage course bookings and queries, send out joining instructions and pre-learning as needed, monitoring team inbox (Apprentice, City & Guilds) to meet delivery needs.
- Set up and manage new processes to track competence and training requirements to ensure compliance.
- Support teams with management of End Point Assessment processes and systems, including registration and collation of EPA documents post Gateway to ensure compliance.
- Monitor placement and training records paperwork, reviews & sign-off documentation aligned to ORR and OFSTED processes and award body specifications, e.g C&G, EAL to ensure compliance with LU and external body standards.
- Support delivery of efficiencies through continuous improvement projects as needed.
- Responsible for Apprentice time sheet processes, monitoring work plans and escalating issues with attendance.
- Responsible for Personal Protective Equipment, uniform, and training equipment purchase to ensure spend is on budget.
- Support team with recruitment planning, materials preparation, coordination and participation for outreach activities and inductions

**Knowledge, Skills & Experience**

Knowledge:

- Knowledge of Education and Skills Funding Agency (ESFA) funding rules including levy drawdown and achievement payment processes, or similar information management using bespoke systems’ and in dealing with financial data
- Knowledge of the principles of Safeguarding and Prevent.
- Knowledge of SAP, Walled Garden(City & Guilds), OneFile, ACE360 or other End Point Assessment Organisation systems
- Knowledge of how to keep training records, schedule training courses and booking training events.

**Skills**:

- Able to communicate effectively with a range of stakeholders, representing LU/TfL in a professional way.
- Organised and able to establish effective and efficient process for the effective delivery of a training department and apprenticeship schemes to ensure that quality standards are adhered to and that budgets and levy drawdown are managed correctly.
- Good problem solving and lean techniques
- Good time management and planning skills

**Experience**:

- Experience working with the OFSTED Education Inspection Framework and ESFA funding rules
- Experience of working with an Apprenticeship Employer Provider, involving the monitoring of standards, registration of Apprentices and the processes for drawing down Apprenticeship levy payments or similar information management using bespoke systems and dealing with financial data
- Experience in delivery of small projects or project management or lean skills.
