**Position **Administrative Assistant
**Responsible to**:Domiciliary Care & Support Manager
We have an exciting opportunity for an administrative assistant post based at Be Assured Services. This is a part-time post, 20 hours per week over 4 days working Hybrid.
We are looking for an enthusiastic and motivated person who is flexible and has excellent administration and communication skills.
Strong and confident customer service skills (and experience of customer facing roles) and good listening skills are therefore essential for this role as are good typing skills and a knowledge of Microsoft Office.
**Duties of the role include**:
- Saving new enquires received and adding details to the CRM system
- Answering the telephone and taking messages
- Filing electronically and physical paperwork for new and existing clients
- To upload data and maintain an excel database, respond to inquiries, arrange appointments, and process paperwork in line with service and department procedures
- Creating and maintaining Staff and Service user folders to support the Hr and Care managers
- To edit and update company documents as and when required
- To update client information and maintain staff and client support schedules
- To answer incoming phone calls and make outgoing calls as requested
- To maintain the service database records
- To keep the office filling systems up to date
- Assisting with special projects such as Leaflet Drops or Recruitment Campaigns
- Franking post
- Arranging Care Professional mandatory training sessions
- Ad hoc admin as necessary which may cover both Employment and New Business
**General Duties**
- To attend and minute staff meetings when requested.
- To promote Be Assured Ltd and its work in the community and in all areas of its operation.
- To communicate clearly with other staff, peers, managers, tenants, customers, and all other agencies and interested parties.
- To represent the organisation at meetings as requested.
- To perform any other duty commensurate with the post as requested.
**Experience & qualifications required**:
- Good level of IT skills including Excel, Word and Outlook
- Experience of working in an administrative role
- Previous knowledge of working within the care industry would be beneficial but not a deal breaker.
**Personal Qualities**:
- Friendly and approachable manner with a sense of humour
- Attention to detail, communication and organisational skills are key
- A flexible approach with the ability to adapt to a changing situation or priorities
- The ability to work as part of a team or individually
- Must understand the importance of discretion and integrity of a confidential environment
- Passionate about playing a part in a Start Up
- Driving is beneficial but not required.
