Rate : 9.50 p/h
Hours : 37.5 hpw

It would be general office duties, phones, mail, e-filing, entering data on spreadsheets, audio and copy typing etc.

KEY DUTIES/RESPONSIBILITIES

Operational Delivery:
1. Undertaking secretarial duties including filing, making appointments, maintaining diaries, distributing incoming mail, preparing outgoing mail and personally dealing with routine items, receiving telephone calls and taking action in accordance with established regulations and procedures. Distribution of circulars and leaflets as required.

2. Assisting with research, compiling reports, drafting tables, forms and collating information.

3. Typing/word processing of letters, memoranda, minutes, reports etc., photocopying material as required.

4. Liaising with the Health System requesting and returning records, receiving new birth cards and responsible for entering new birth details onto register.

5. Responsible for prioritising work and ensuring it is brought to the attention of the Health Visitors.

6. Maintaining an appropriate filing system in order that the work of the Department can be effectively and efficiently undertaken.

7. Compiling reports and non-routine letters for health visiting team and Team Managers signature.

8. Responsible for ordering supplies for the health visiting team.

9. Liaising with other Departments e.g. Midwives, Accident & Emergency Departments, other Health Visiting teams

10. Using Microsoft office packages to compile letters and prepare material for presentation e.g. Powerpoint and using Paris system.

11. Undertaking any other duties appropriate to the Band which may be assigned from time to time in light of developments, including covering for colleagues in outlying health centres.

QUALIFICATIONS / EXPERIENCE

1. 4 GCSEs at Grades A-C including English Language and Maths or
equivalent / higher qualification OR 1 years’ experience in a clerical /
administrative role.

2. Experience in the use of at least one Microsoft product or equivalent

3. Hold a full current driving license valid for use in the UK and have access to a car on appointment. This criterion will be waived in the case of a suitable applicant who has a disability which prohibits them from driving but who is able to organise suitable alternative arrangements in order to meet the requirements of the post in full.
