Admissions & Student Support Administrative

**Job Purpose**
To provide high quality administrative support and coordination to enable the efficient and effective management, delivery and development of the School of Biodiversity, One Health & Veterinary Medicine’s Undergraduate Recruitment, Admissions and Student Support Services.
**Main Duties and Responsibilities**
1. To provide efficient and effective administrative support to the Admissions and Student Support Office.
2. To respond swiftly and effectively to enquiries, working independently to resolve in a timely and efficient manner and maintaining excellent customer-care skills at all times. Ensuring any enquiries that cannot be resolved immediately are passed on to an appropriate person within the team.
3. Communicate effectively with prospective students/schools/influencers to provide a professional and efficient customer-focused service and deal with general correspondence. Work effectively with colleagues both within and outside of the School to develop common systems and processes, standardised on best practice and ensuring University regulations are adhered to.
4. Clerk meetings with students and support staff and keep accurate records of any discussions.
6. Work closely with student support staff and course leaders to contribute to the development of resources for students and to implement any changes and benefits to enhance the student experience. Help ensure that student support services are delivered in the most appropriate way, recognising the needs of all groups involved in the service and provide a high standard of personalised service to both staff and students within the School.
7. Support the marketing and administration for recruitment events both at home and overseas and represent the University at other external meetings as required, providing information to prospective students, partner institutions, teachers and influencers in a professional and friendly manner.
8. Support the delivery of on and off campus events, such as Open Days, agent symposiums and high school counsellor events, through extensive logístical management. Meet with prospective students and their influencers and outline admissions requirements for both the Bachelor of Veterinary Medicine and Surgery (BVMS) and BSc Veterinary Biosciences programmes. Specific duties include event and room bookings, liaising with external suppliers, hospitality bookings, transport arrangements, co-ordinating staff and student assistance and any other related items for events as appropriate.
9. Manage Tier 4 monitoring and recording of attendance data for UG students, to ensure students and the School meet their legal obligations to the UKVI in relation to visas/sponsor status.
10. Responsible for absence monitoring and assisting with “Good Cause” for both the BVMS and BSc Veterinary Biosciences programmes. Assist with the preparation and analysis of examination results and prepare required information for the Progress Committee, which meets twice yearly and Clerk the meetings as required.
11. Responsible for managing the allocation of student lockers to all students on campus, and management of any related issues throughout the year.
12. To liaise with the School of Biodiversity, One Health & Veterinary Medicine Widening Participation lead and the University of Glasgow Reach Team to coordinate timetabling of Widening Participation and outreach events and collate data regarding Widening Participation students pre-and post-admissions.
13. Liaise with administrative and academic colleagues at all levels within the School and provide cover for other administrative team members during absence. Assist in other sections of School as departmental work patterns require.
**Knowledge/Qualifications**
**Essential**:
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or, Scottish Credit and Qualification Framework level 7 (Advanced Higher, SVQ 3, HNC or equivalent), and experience of personal development in a similar role.
A2 Excellent IT knowledge and skills including a detailed knowledge of Microsoft packages including Word, Excel, PowerPoint and Outlook.

B1 Understanding/experience of Higher Education.
B2 Knowledge of national and international entry qualifications.
B3 Knowledge and understanding of developing and maintaining databases.
