Veterinary Pricing Clerk/stock Control

**JOB TITLE: Pricing and Coding Clerk/Stock Control**
**REPORTING TO: OPERATIONS MANAGER**
**AREA: SUPPORT (Hospital Operations) Eastcott Veterinary Hospital**
**OVERVIEW**
The purpose of this position is to serve as a support function to the Management teams by providing an excellent service to our clinical team. The Pricing and coding Clerk is accountable for minimising loss of income resulting from missed products and charges and inaccurate estimations whilst maintaining the coding catalogue.
This position requires a practical knowledge of the practice’s organisation and services; the basic rules and regulations governing visitors; accuracy in transcribing information/messages and a practical knowledge of the standard procedures, veterinary records and terminology used in the practice.
**Key Responsibilities**:
- Accurate and timely production of administrative delegated tasks, ensuring GDPR compliance at all times.
- Rotate through pricing and stock control, involving ordering stock, unpacking and handling practice orders. Some heavy lifting involved upto 20kg, this can be a physical role. Abilility to work indepentantly or within a team. Be involved in quarterly stock takes.
- The checking of hospitalised patient charges to ensure that the appropriate fees have been applied and refer any omissions to the relevant clinical associate.
- Input fees and charges arising from clinical procedures using data from clinical notes. Record and report discrepancies between final charge and estimates for training purposes.
- Cross-reference charging with clinical notes from non-surgical procedures. Resolve any discrepancies with the relevant clinician.
- Audit each vets consultations to ensure pricing continuity in line with Practice policy. Record and feedback to the Senior Leadership Team.
- Receive pricing changes from the Stock Team and input on to the Practice Management System.
- Conduct market research regarding competitors pricing and update the Senior Leadership Team of any relevant information.
- Provide in-house training for new and existing associates regarding the correct way of charging items on the Practice Management System.
- Pass invoices to be paid along with all the relevant documentation to the central functions ensuring the Purchase order system is maintained. Investigate any discrepancies with the invoices raised by the invoice approvers i.e. whether an item has been received or pricing queries. Approve invoices for payment via Oracle.
- Communicate effectively with all Associates at the practice and central support as well as external contacts
- Have a flexible approach to an unpredictable work load, with a willingness to provide support for associates as needed, even if the tasks are not explicitly mentioned in this job description or specific delegated jobs list.
- Assist on reception in busy periods, holiday and sickness cover and any other job duties as required as required to do so by the Operations Manager.
- Working hours between 8am and 6pm.
**PERSON SPECIFICATION**
Experience
A minimum of 12 months’ administration experience
Previous experience of working in a veterinary/doctors’ surgery.
Knowledge
IT skills - confident in the use of Word, Excel and Outlook as a minimum.
Knowledge of client-based computer system and using a multiple line software-based telephone system
**Qualifications**:
English and Maths GCSE and good general education.
Any form of administration qualification.

Ability to work to deadlines.
