**Position**:
**Purpose of role**:

- To provide vital operational support to project managers/engineers and project teams in order to achieve successful and timely completion of projects
- To provide general administrative support to both Transport and Engineering Managers and ensure effective, smooth-running of the business unit
- To produce key management information including reports, presentations etc., to support the activities of the business unit

**Requirements**:
**Main Responsibilities**:

- Work closely with the project and sales team to monitor the overall status/progress of all existing enquiries and contracts
- Set-up and update contracts and cost/sales budgets (including variations and purchase orders) on Focal Point; acknowledge orders and setup job numbers
- Monitor and analyse progress of projects; monitor contract end dates to ensure retention payments are applied for within the correct timescale
- Maintain job files; ensure all relevant documentation is present in file, chasing project teams for any missing documentation etc.
- Work closely with the central finance team and project team to ensure an efficient sales invoicing process by providing agreed invoicing milestones and internal journals
- Report job completion dates to the central finance team to ensure invoices are raised
- Raising purchase orders for labour, plant, equipment and materials etc., in line with costs agreed by the procurement team, after sign-off by Resource Schedulers
- Process timesheets and expenses for weekly paid employees after checking with the data provided by the project team i.e. hours worked etc.

- A high level of administrative skills and attention to detail ideally gained in a complex, operations environment
- Experience of producing presentations and reports
- Knowledge of using CRM and internal database systems
- Microsoft Excel - Intermediate/Advanced level user
- Microsoft PowerPoint, Word, Dynamics and Outlook - Intermediate level user
- Excellent written and verbal skills at technical and professional levels
- Experience dealing with finance administration
- GCSE (or equivalent) in Maths and English
- Desirable_

- Detailed and analytical approach
- Able to work independently or as part of a team / operate effectively whilst under pressure to resolve problems / adjust to changing situations and personalities
