**KEY RESPONSIBILITIES**

To provide administrative support for the full range of activities in the Registry and Operations function of the College.

The Registry and Operations team within the Study Centre are responsible for ensuring that the student’s central record within the student information management systems are accurate and maintained, and reflect the students journey throughout their programme. Through the maintenance of the databases, the team is also responsible for providing key data sets and statistical information for all stakeholders, both internal and external. This includes student timetables, personal data, and programme of study, assessment and examination information and compliance documentation.

The team is also responsible for ensuring that all staff recruitment processes and procedures comply with Company policies relating to Health and Safety and Safeguarding.

The team contributes to the overall objective of the College—“preparing international students to progress and thrive at the University of Sheffield through successful completion of their programme”-by ensuring that the student record is accurate at all times and that teaching and learning can take place effectively in a safe and secure environment. The team is also responsible for providing key data sets and statistical information for all stakeholders, both internal and external.

**Registry**:

- Work with the R&O Coordinator to ensure all examinations and assessments run smoothly from an operational point of view and that all materials are available in a timely manner. Ensuring that Progresso assessment screens are set up and that they are released and locked in a timely manner as well as the creation of the End of Term and Resit examination timetables.
- Assist in the preparation of the annual Assessment Schedule and publishing this to students at the start of their studies.
- Ensure student records with The University of Sheffield are created and that all relevant information is transferred into the student information management systems and students are enrolled on their course modules, other online platforms, and the College Virtual Reception through Blackboard.
- Assisting the overseeing of student registration at all intake points to ensure students' records are updated, relevant documentation uploaded and that quality audits are undertaken for accuracy and missing information.
- Ensure that daily student number information is available for all stakeholders.
- To lead on the allocation of students to our Virtual Learning Platforms (Blackboard and AES Online) to ensure they have all their courses allocated prior to the start of their studies.
- To ensure all amendments are made to our Virtual Learning Platforms as and when students complete or leave their studies.
- To assist with the monitoring of our attendance process to ensure tutor attendance is input enabling other functional teams to act on the information available.
- Supporting the Coordinator to produce the examination timetable in line with the agreed timeline to ensure its completion.
- Assisting with the scheduling of students to their classes within our timetabling process and undertaking any ad hoc changes.

**Additional responsibilities**:

- It is expected that our Senior R&O Officers (of which this is one) would rotate their roles to ensure there is no single point of failure within the team.
- Covering for the other Senior R&O Officer during periods of absence, annual leave etc.
- Providing support for the R&O team at busy times and the wider SET teams, as required.
- To carry out any duties, as required by the Senior Leadership Team.
- Supporting the Registry and Operations team to ensure that facilities expectations and contractual obligations are met throughout the College building, including teaching space hygiene and College facilities management.

**EXPERIENCE & SKILLS**
- Ability to complete complex processes independently and to ensure the Registry and Operations Team follow instructions to achieve key deadlines.
- The ability to make prompt decisions on tasks and work proactively.
- Ability to analyse data and present information to key stakeholders.
- Ability to quickly take on large quantities of technical information.
- Knowledge of analysing and manipulating large volumes of data.
- Customer service skills and experience.
- Understanding the implications of your and your team's work in the wider context of the College and externally.
- Experience in leading tasks or projects, which achieved a successful outcome.
- Able to provide feedback to another person about their task performance, which achieved a positive improvement.
- Experience with timetabling or compiling rotas would be desirable but not essential as full training would be given.
