**LOCATION : Stockton**
**HOURS : 20 hours, Permanent**
**REPORTING TO : Clinical Manager, Adult Services**
**ACCOUNTABLE TO : Director of Care**
An exciting opportunity has arisen to work as an administrator within our Adult Inpatient Unit (AIPU) at Butterwick Hospice Stockton.
You will have excellent skills and knowledge of IT systems, administrative software, and experience of working with Microsoft packages including word, excel and power point.
Motivation, enthusiasm, and a flexible approach are necessary, along with a caring and supportive nature and ability to demonstrate empathy, compassion, and sensitivity as appropriate within the role and organisation. Confidentiality must be maintained at all times.
**JOB PURPOSE**
Provision of an accurate, effective, and timely, comprehensive administrative support service for Adult Inpatient Unit (AIPU) contributing to a smooth and cooperative work environment.
**KEY RESPONSIBILITIES**
**Clinical Administration**:
Provide administrative and clerical support to Butterwick Hospice AIPU at Stockton, working with accuracy, and in line with GDPR, to ensure administrative efficiency and smooth running of service.
Accurately record patient data, scanning and inputting all documents & data to our internal hospice iCare system, ensuring patient details are recorded and processed in an accurate and timely manner.
Work with the nursing team to ensure records of referrals, client activity, and discharged clients are entered onto the Hospice iCare system within appropriate timescales.
Update the status of patients, and ensure records of activity are inputted to iCare prior to filing upon death/discharge.
Update patient/other information on service databases in a timely and accurate manner and assist in the production and provision of clinical activity reports and audits as required.
Assist the Clinical Manager with all necessary administration to support service delivery.
Ensure that correspondence is sent to referrers, patients & families, necessary to service requirements, ensuring efficiency in the flow of communication between services, and patients/families.
Oversee a robust clinical stock ordering system, ensuring the needs of the AIPU are met in a timely and cost-effective manner.
Support clinical meetings by acting as minute taker when required.
**General Administration Duties**:
Book rooms for meetings, sending invites to staff, distributing agendas, and taking minutes, typing and sending these out within agreed timescales.
Liaise with team members and other Hospice staff, Trustees and with external organisations and members of the public, in an appropriate manner, both in person and on the telephone.
Support other colleagues within the administration team when required, including essential administrative tasks for the purpose of holiday cover, thereby ensuring a continuous and reliable service across all areas of the Hospice
This post is deemed to require an Enhanced Level Disclosure check with the Disclosure and Barring Service as there is access to children or vulnerable adults.

**Qualifications and Education**
**Essential**
Good level of education with GCSE (or equivalent) in English and Maths at Grade C or above.
Hold a recognized secretarial/administration qualification or have proven evidence of relevant experience
**Knowledge and Experience**
Skills in and intermediate knowledge of IT systems, administrative software, and experience of working with Microsoft packages including word, excel and power point.
Ability to record and process statistical information and produce accurate reports in a timely manner
Experience of providing excellent and organised administrative support, minute taking, typing, photocopying, filing services.
Understanding of confidentiality and the Data Protection Act (GDPR).
Ability to prioritise work appropriately and within deadlines whilst maintaining high standards and quality of work, using own initiative and recognise additional duties as appropriate
Knowledge of design and operation of filing systems, maintaining manual and computerised systems.
