Healthy Child Programme 0-19 yrs. Service Administrator

Applications are invited to the role ofHealthy Child Programme 0-19 yrs. Service Administratorwithin Walsall Healthcare NHS Trust’s Community Division - Children’s Care Group. This opportunity will present varied role across Health Visiting and School Nursing to deliver functions including; telephone call handling from parents, carers and other staff into the Single Point of Access (SPA) telephone hub, inputting and data entry on the patient administration system and service documentation; following patient pathways and patient bookings, data quality checking, scheduling and allocation of appointments plus other administrative tasks across the service / team bases.

You will need to work flexibly to meet the demands of the Healthy Child Programme 0-19 yrs. and be able to work effectively with all clinical staff plus manage calls and queries from callers / visitors who are often distressed or anxious.

Experience of Microsoft Office is essential for this role. Knowledge of Trust IT and digital systems would be desirable but training will be provided. The successful applicant would be familiar with healthcare related systems and show that they live the Trust behavioural Values in an often demanding and challenging environment.

**To work as part of a team by**:

- Liaising with Admin Lead, Clinical Team Leader on a daily basis to meet the needs of the service
- Maintain child health records
- Inputting and extracting data within required deadlines Enter child health data onto electronic databases, Careflow and other systems as required
- Be flexible to support admin to all parts of the Health Visitor Service
- Liaising with other administrators in order to maintain services by negotiating leave requirements to ensure cover is provided where necessary in accordance with individuals contracted hours
- Use own initiative, problem solve, plan and organise own workload according to priorities
- Attend regular meetings with colleagues, Admin Lead and Service leads
- Travelling to and working at various locations as required within Walsall Healthcare NHS Trust
- Provide support and mentorship to new members of staff

Walsall Healthcare NHS Trust provides integrated acute and community Healthcare in the West Midlands serving a population of 260,000 residents. Walsall Manor Hospital houses the full range of district general hospital services. The £170 million development was completed in 2010 and we are continually upgrading. Construction of the new integrated critical care unit was completed in 2018, extension of a Neonatal Unit and an approved plan to build a brand new, state of the art Emergency Department which will commence in 2021

We provide high quality, friendly and effective community health services from multiple sites covering Walsall. Our multidisciplinary services include rapid response and homebased care, so that those with long term conditions and the frail elderly can remain in their own homes
- Answering incoming telephone calls and dealing with queries as appropriate
- Transferring calls as appropriate
- Agreeing arrangements for call forwards etc.
- Maintain an accurate message recording system
- Forward messages in a timely and accurate manner
- Use sensitivity and tact when listening and conveying messages
- Take appropriate action as a result of incoming telephone calls, messages or direct contact with clients and agencies
- Accurately record on appropriate documentation/data base
- Input new referrals/contacts/DNA’s and cancellation onto Careflow
- Discharge clients from the service as required
