**General Secretarial & Administrative**

Typing of referral letters from the Doctors to Consultants and Specialists at NHS Hospitals, Private Hospitals and Community Clinics within the agreed turnaround time as per practice protocols.

Management of the E-RS (Choose & Book) system; generating UBRNs and dealing with all related queries. Ensure Doctors are informed of any new services available.

Manage and maintain the ERS Worklists; provide audits as appropriate to ensure an effective turnaround of referrals and submissions. Attend meetings/training sessions as required.

Typing of all non-hospital letters as required.

Ensure the practice is using up to date referral forms, acquiring all revised pro-forma as necessary, and converting to EMIS templates where possible, using read codes for the purpose of extracting data from the computer.

Chasing hospital results if deemed necessary by a GP or clinician.

Processing and actioning Workflow Tasks on a daily basis.

Faxing of urgent referrals when necessary.

To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

Attendance and minute taking at Practice Clinical Meetings

To facilitate external calls between GPs and fellow clinicians.

Provide Administrative Support for Enhanced Services

To assist the Practice Operations Manager and Practice Business Manager with all clerical and administrative duties as and when required.

To provide secretarial support for colleagues as and when required, including cover for annual leave and sickness.

Smartcard management unlocking of cards.

**Practice Administrative**

To be proficient in the use of all office equipment, i.e. photocopier, franking machine and report any malfunctions to the appropriate personnel as per practice protocols.

Disposing of own accumulation of confidential waste as per practice guidelines.

Participate in the development of effective systems of communication and co-operation between doctors, staff and other members of the primary health care team.

Provide assistance to doctors in non-medical procedures as and when required.

Maintain the condition of the office and other staff areas and report any necessary repairs to the Practice Business Manager.

Ensure annual leave requests are completed in line with practice protocols and organise for any cover as required.

Ensure the appropriate documentation is completed for all unauthorised absences, i.e. sick leave, immediately upon your return to work.

Attend and participate in regular staff team meetings and whole staff meetings as required.

**Personal/Professional Development**:
The post-holder will participate in any training programme implemented by the Practice and as part of this employment, such training to include:
Participate in the practices annual appraisal scheme and personally review your agreed action plan on a regular basis to achieve completion within the agreed timescales.

Taking responsibility for own development, learning and performance and demonstrating skills and activities to others who are undertaking similar work.

Ensure all blue stream mandatory training is completed within the specified time frame.

**Quality: Non-Clinical Patient Welfare**

The post-holder will strive to maintain quality within the Practice, and will:
Alert other team members to issues of quality and risk.

Undertake training appropriate to the above role and, in addition to the general staff training program take responsibility for developing personal skills to support the efficient delivery of the role.

Participate and maintain administrative protocols to support and improve practice organisation and provision of services to patients.

Organise and review own workload and liaise with colleagues to ensure an efficient and effective working environment

Assess own performance and take accountability for own actions, either directly or under supervision

Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the teams performance

Participate in the development of effective liaison with outside contacts, i.e. Black Country ICB, Social Services and all other relevant committees and organisations related to the provision of patient services.

Perform all responsibilities and duties to ensure the practice is compliant with CQC requirements.

**Health & Safety**

Perform all duties in accordance with the Health and Safety at Work Act, practice rules, procedures and protocols.

Ensure all accidents or potential accidents are reported in line with the practices Health and Safety Policy and procedures.

Use the personal security and safety systems and equipment within the workplace according to practice guidelines.

Identify the risks involved in work activities and undertake them in a way that manages the risks
