**Job Description (Overview)**:
The Project Support/document control employee is responsible for the control of Techflow Marines project related documents that are both sent and or received. This post involves coordinating with the different departments within the organisation and ensuring that documents are produced to the appropriate standard following the correct procedures and are sent on time. Documents received into the company must be distributed to the right department and expedited to ensure the client’s deadlines are met. All documentation must be filed/saved in the correct location to ensure it can easily and efficiently retrieved. It is essential that the employee uses good communication skills to coordinate with the organisations different departments as well as been a first point of contact with the company’s clients and suppliers for documentation matters.

**Responsibilities**:
**Technical**
- Handling and logging all project documentation that comes into the company.
- Pass documents onto the relevant department within the company for completion.
- Prepare and submit outgoing documentation as per the clients agreed "Supplier Document List" to meet with clients pre-set deadlines.
- Ensure that the correct client supplied front sheet format is adopted and maintained throughout the project. The clients formatting and software version requirements must be understood and adhered to at all times to ensure documents are not rejected.
- Set up and maintain the companies approved document tracking spreadsheet for each project.
- Expedite the progress of documentation within the company.
- Work to a 10 working day turn around on outgoing documentation as a standard of service as per Norsok Z-018. Clients documentation review periods should be observed and any late document returns should be chased throughout the project and highlighted to the client.
- Provide clients with agreed document updates/progress reports.
- Expedite clients to return commented documents within 10 working days.
- Maintaining the company’s external transmittal system.
- Ensure any Transmittal front sheets that require signatures are returned and saved with the relevant project folder. Also sign and return the clients transmittal front sheets where requested to do so saving a copy with the project folder.
- Maintain the companies’ documentation revision system.
- File all document revisions in the relevant project file within the correct section following the relevant work instruction.
- Complete project Master Record Books.
- Learn client’s documentation transmittal software, and aid with the uploading of documentation.
- Expedite document completion dates for Supplier Document Registers and progress reports.
- Amend comments on client documentation where skill set allows.
- Chase suppliers for any missing project information and file it in the appropriate section within the project folder.
- Collate any hard copy documentation sent in by suppliers and scan them onto the server within the appropriate project folder as well as securely storing the hard copies.
- Assist with the creation of Internal and External Document Numbers at the Project Outset.
- Liaise with the client at the start of a project to void any documents that are not deemed relevant to a specific project.
- Assist the Project Engineers with documentation administration where skill set allows.
- Checking and approving colleagues work before sending it off to external body paying close attention to Format, Spelling, and Grammar.

**General**
- Work together with your colleagues to ensure company objectives are achieved.
- Comply with TFM Business Management System (BMS) and contribute to it’s continual improvement and effectiveness.
- Report any HSE risks/incidents in order to promote the health and safe well-being of yourself and others.
