We are embarking on the next stage of our exciting journey. Following over 17 years of success, we have cemented our place as one of the industry leaders, and now, in a booming market, we are looking to appoint a **Senior Administrator / Officer Manager** to oversee our expanding Billericay office.

**Working Hours**: Monday-Friday, 9-5 with very occasional out of hours working.
**Office and Administrative Duties**:
- Manage the online Dropbox system and filing systems.
- Manage the administration team workload and output.
- Manage, develop and evolve administrative systems such as record management.
- Scheduling and confirming meetings for the 2 Directors.
- Handling of daily post, deliveries and stationery orders.
- Meet and greet new clients when they visit the office.
- Check that data protection laws are being adhered to in relation to the storage of data, and review and update policies.
- Respond to customer enquiries and complaints.
- Follow Anti-Money Laundering regulations.
- Work with solicitors.
- Work with relevant colleagues to manage all client requirements and maintain supplies of stationery and equipment.
- Maintain the condition of the office and arrange for necessary repairs.
- Arrange regular testing for electrical equipment, intruder alarm, fire extinguishers and safety devices**.**:
- Manage any IT issues and liaise with the IT company currently on retainer to fix any issues.
- Manage office moves when necessary.
- Be an office key holder.
**Financial Responsibilities**:
- Liaise with the accountant for monthly payroll.
- Working with the management team on monthly commissions for the sales team.
- Responsible for recording accounts payable and working with the accountant for year-end accounts and VAT.
- Monthly Petty Cash submission to the Accountant for VAT.
- Record office expenditures and manage the budget.
- Raising invoices and receipts for client payments, agents’ fees.
- Managing the sales summary and provide monthly forecasts.
- Manage cleaner schedules and payments.
- Arrange reviews of energy bills and office insurances including employer’s liability.
- Manage the printer lease and servicing / repairs and negotiate favourable terms after the lease is ready for renewal.
**HR Duties**:
- Provide Directors with statistics for staff appraisals, to manage performance and discipline staff.
- Review and update health and safety policies and ensure they are observed.
- Record Staff Leave / Sick Leave.
**You must be eligible to work in the UK. No agencies please.**
