A position has arisen for a receptionist/admin assistant to work at our trade services office on a full-time basis. You will be required to work from our office with mínimal supervision, although you may be required also to work from home from time to time.

Main responsibilities will include:

- Secretarial duties will include general administration, scanning, filing and shredding of documents, typing up and writing of letters, documents and contracts as well as any other correspondence on behalf of the company.
- The role involves maintaining employee holiday records, utilising QuickBooks for payroll and scheduling weekly salaries, creating estimates and invoices, handling confidential information and maintaining financial spreadsheets.
- Ensuring all company vehicles are maintained, safe and legal.
- Handling sensitive information in a confidential manner, adhering to GDPR.
- Liaise with clients to take accurate messages using effective communication skills, both verbal and non-verbal to establish a professional rapport with clients and contractors ensuring their needs are met.
- Utilising a booking system to schedule appointments and ensure that all appointments are accurately logged. Responsible for ensuring that necessary materials and equipment are ordered in advance of domestic appointments to avoid delays. This involves liaising closely with the engineering team to determine their requirements and coordinating with suppliers to ensure timely delivery.
- Booking travel and accommodation for employees assigned to long distance projects.
- Responsible for carrying out onboarding procedures for new employees. This includes organising induction sessions, ensuring that all relevant paperwork is completed, and providing new employees with an overview of the company's policies and procedures.
- Working closely with the directors.

**Education**:

- GCSE or equivalent (preferred)

**Experience**:

- Customer service: 1 year (preferred)
- Administrative experience: 1 year (preferred)

**Language**:

- English (preferred)

Licence/Certification:

- Driving Licence (preferred)
