Administrative Assistant

**Key Responsibilities**:
- Administrative Duties:_
- Keep HR files and staff employment details updated regularly.
- Handle the opening and distribution of post to relevant personnel.
- Provide support in customer service when necessary.
- Prepare and distribute new starter packs for new employees.
- Manage the printing of order labels and other administrative documents.
- PA Duties:_
- Provide dedicated support to one of the company’s Directors.
- Efficiently manage the Director’s diary, including scheduling meetings and appointments.
- Organize accommodation and transport for business travel.
- Attend meetings with the Director, taking notes and providing administrative support.
- Finance Duties:_
- Perform basic bookkeeping and bank reconciliations.
- Manage payroll processes, liaising with Edwards Veeder LLP.
- Import bank statements from Handelsbanken and maintain accurate financial records.
- Input supplier invoices and manage the procurement process.
- Raise purchase orders (POs) and verify them against invoices.
- Prepare supplier payment reports for monthly payment runs.
- Provide support to the accountant during year-end financial activities.
**Requirements**:
- Strong knowledge and ability in Microsoft Office Suite.
- Basic understanding of Xero accounting software.
- Excellent telephone manner and communication skills.
- Ability to perform well under pressure and meet deadlines.
- Strong teamwork and collaboration skills.
- Experience in using and generating reports from PayPal.
- Full training will be supplied to ensure success in the role.
