We are currently recruiting for a temporary Administrative Assistant for a centrally based Oxford University Department, starting asap on a full-time basis.

**Duties**:

- To undertake event preparations (both internal and external), including ensuring rooms are set up correctly and catering requirements are met.This will involve liaising with Housekeeping, Porters and Hall/Kitchen staff as appropriate to ensure that all departments are aware of requirements and expectations.
- Producing the weekly set up sheets for the Quadsmen to enable them to plan resource for the week ahead.
- Producing function sheets for all departments in time for a weekly Domestic Team Meeting to discuss events coming up in the next 10 days.
- Print out signs and menus for events, liaising with clients to ensure titles etc are correct.
- Attend Health & Safety group and Staff committee meetings. Includes relaying information to the team post-meeting

**Essential Criteria**:

- Excellent written and verbal communication skills.
- Work well under mínimal supervision.
- Be able to work independently in arranging and managing a heavy and varied workload, and take personal responsibility for achieving deadlines.
- Be a good communicator with an excellent telephone manner.
- Work with tact and diplomacy, possess a good sense of humour, and be adaptable in dealing with people from different backgrounds and with different needs.
- Have good understanding of computer packages; including Microsoft Word, Excel and Outlook, together with a database package. Experience of Kinetics Booking System and Adobe InDesign would be advantageous, though full training will be given
- To be comfortable with the use of hybrid audio visual equipment, full training will be given.
