**Office Administrator for Domestic Bursar’s Office**
Main Duties
- Providing an efficient PA service to the Domestic Bursar
- Providing administrative support to the Domestic Bursar, Deputy Domestic Bursar, and the Front of House and Conference Manager, as necessary.
- Supporting office colleagues during absences, holidays and busy periods
- Managing College Guest room bookings, including compilation of the weekly Guest Journal
- Producing Proof of Residency and Accommodation Reference statements
- Assisting with the preparation of Accommodation Licences to Occupy
- Optimising the occupancy of accommodation by assisting with letting of vacant rooms to visitors or non-Balliol students
- Monitoring and managing room inventories and damage schedules
- Ensuring room occupancy data is accurate within the room booking system (StarRez) including checking check in/out statuses
- Assisting with the Admissions and Vacation Residence administrative processes
- Supporting Visiting Research Fellow, Visiting Student and Academic Visitor bookings
- Managing requests for waiting list accommodation, short stays, and students returning from suspension, ensuring that relevant departments are advised of any amendments
- Dealing efficiently with all reasonable administrative requests made by any student. Liaising with various members of staff.
- Provide support arising in relation to Student Accommodation, and in collaboration with the Deputy Domestic Bursar - including the annual Room Ballot for UG and PG students and, for example ensuring student completion of Licence Agreements and updating the electronic booking system (StarRez).
- Supporting the annual organisation of undergraduate and graduate storage in conversation with the Lodge, including publicising how storage works, issuing labels, monitoring the use of rooms and chasing up and/or arranging to recycle or dispose of abandoned items
- Other Responsibilities_
- Managing the office stationery account and maintaining stock levels
- Overseeing and collating the College’s accident reports to include reporting any RIDDORS
- Assisting with the purchase of accommodation-related items, furniture, and maintaining stock control
- Administering the annual flu vaccination programme for staff
Carrying out any other reasonable duties as requested to ensure the smooth running of the office
