JOB SUMMARY

The postholder will be required to provide an efficient and effective administrative support service for the Pay & Conditions Team in relation to general queries, including Agenda for Change administration, organising panels and maintaining a robust electronic recording system.

The postholder will be the first point of contact for staff making enquiries and provide support to staff using the HRPTS system for completing online processes.

KEY DUTIES / RESPONSIBILITIES

1. To co-ordinate and process a range of correspondence in accordance with agreed procedures within area of responsibility.

2. To be responsible for inputting and updating electronic recording systems associated with area of work, and to provide monthly and ad hoc reports as requested.

3. To undertake a range of admin support duties including word processing, organising meetings/panels, maintaining diaries and dealing with incoming/outgoing mail.

4. To ensure that work for which responsible is processed in a timely manner in accordance with agreed performance standards and that any issues are brought to the attention of their Line Manager.

5. To prioritise workload in accordance with expected outcomes.

6. Deal with telephone and face to face enquiries from managers, staff and the public regarding general employee relations issues in accordance with departmental procedures.

7. Escalate more complex / specialist enquiries to the appropriate HR contact.

8. Continually strive to improve quality, standards and procedures within area of responsibility contributing to the ongoing desire to improve delivery of services.

9. Arranging and attending meetings, taking minutes, typing and distribution of same.

10. Assist with maintaining, updating and filing departmental records as required.

11. Continually strive to improve quality, standards and procedures within the Department, contributing to any associated developmental work as appropriate.

12. Provide informal guidance and support to HR Assistants Band 2 if applicable.

Essential Criteria:
1. 4 GCSEs at Grades A-C including English Language or equivalent/ higher qualification AND 1 years’ experience in a clerical / administrative role

OR

2 years’ experience in a clerical/ administrative role.

2. Experience in the use of Microsoft office products including Word and Excel.
