KEY DUTIES / RESPONSIBILITIES

1. Provide HR advice to managers across the company on a range of pay and employment issues including Agenda for Change terms and conditions of service and associated company policies and procedures.

2. Supervise staff in the team to ensure that allocated work is completed accurately and in a timely manner.

3. Participate in audit checking to ensure that all salary, banding and coding details have been processed correctly on HRPTS.

4. Assist with the resolution of any HRPTS processing issues that are impacting on payroll closedown.

5. Provide guidance and training to HR Assistants in relation to the operation of HRPTS, including updating standard operating procedures and other training materials as required.

6. Promote a culture of continuous service improvement within the team, encouraging their participation in reviewing and streamlining current processes and work methods.

7. Ensure the accurate processing and prioritising of all HRPTS related work for weekly, fortnightly and monthly payroll deadlines. Ensure that all relevant background/recruitment documentation has been sourced, and check that this accurately reflects information provided by managers.

8. Liaise with managers and the HRPTS Systems Team when forms to be processed are incorrect or ambiguous to ensure that forms can be actioned/processed correctly and timely.

9. Communicate effectively with staff and maintain positive working relationships amongst the team and other sections/departments.

10. Assess Previous Service/Staff Transfer forms/records to assimilate to the correct pay point, and incremental date, and to calculate the dates required for Date Specifications on HRPTS

13. Liaise with company Recruitment and the Resourcing Team on a regular basis, especially in relation to new developments in the Recruitment/Central Bank process which will have an impact on work in Employee Relations.

14. Deal with telephone and face to face enquiries from managers, staff and the public regarding general employee relations issues in accordance with departmental procedures. Examples might include, enquiries regarding Agenda for Change terms and conditions of employment, maternity leave, work life balance provisions etc.

15. Escalate more complex / specialist enquiries to the appropriate HR contact.

16. Attend meetings associated with HRPTS issues on a regional/company basis when required.

17. Issue all contractual documentation, ensuring that all information provided is accurate, timely and in an appropriate format.

18. Assist the HR Advisor with the quality assurance of all contractual documentation.

19. Provide administrative and clerical support including word processing and issuing of documentation via external / internal mail.

20. Work closely with the Case Management Team and Pay & Employment Services Team to ensure that employee relations issues are dealt with as efficiently as possible.

21. Assist with maintaining, updating and filing departmental records, as required.

22. Continually strive to improve quality, standards and procedures within the Department, contributing to any associated development work, as appropriate.

23. Provide informal guidance and support to HR Assistants Band 2 if applicable.

24. Actively participate in team meetings.

Criteria:

3 years’ administrative experience to include 2 years in a HR role at a minimum of Band 3 or equivalent.
2. Experience of processing on a HR/Payroll computer system e.g. HRPTS System

3. Experience of responding to queries in relation to Terms and Conditions of Service

4. Experience in the use of Microsoft Office products including Work and Excel

5. Experience of effective time management and ability to meet regular deadlines.

Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment.
This criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by the company which will permit them to carry out the duties of the post.
