Purpose of the Job

To provide effective clerical support as part of the overall administrative support team within the College of Environmental Sciences and Engineering, holding specific administrative responsibility for the School of Ocean Sciences.

**Responsibilities**:

- Provide effective clerical support for the range of administrative activity within the College of Environmental Sciences and Engineering, particularly to the School of Ocean Sciences.- Assist with the organisation and day to day operation of administrative processes and procedures within the School of Ocean Sciences.- Support the Head of School - arranging meetings, arranging travel and accommodation and diary and room management.- Implement and maintain office systems and records; diary management; arranging travel and accommodation; screening telephone calls; meeting and greeting visitors, making appointments and arranging meetings.- Communicate and liaise with the School Management Team and School members.- Communicate effectively with both staff and students and maintain effective working relationships with colleagues within the University, and external bodies.- Act as secretary to College-level and School-level committees. Organising meetings, drafting agendas, preparing papers, taking minutes and circulating papers as appropriate.- Ensure confidentiality and safety of personal data (e.g. disposal of confidential waste).- Deal with incoming mail on a daily basis and process accordingly.- Type letters, reports, and documents using word processing facilities.- Maintain the local filing system and ensure files required by staff members and other stakeholders are available when required.- Maintain and update local systems and/or spreadsheets as requested by the relevant staff member or line manager.- General office management & enquiries.- Manage visitors to the school, ensuring that appropriate records are taken and kept.- Work across functional team boundaries as part of a larger College administrative team to ensure that core support services are maintained, particularly during holidays and absence and at peak times of activity- Undertake other appropriate administrative duties and responsibilities as may be required.Other

- Qualifications/Training_

Essential- Hold an ECDL Certificate or possess administrative experience.Desirable
- A business administration or related qualification.- Experience/Knowledge_

- Experience of working within an office /administrative environment.-
- Experience of organising meetings and minute taking.- Proficient in the use of Teams and OneDrive.Desirable
- Experience of working within an office /administrative environment in a Higher Education setting.- Experience of working with databases.- Experience of developing and implementing administrative systems and procedures.- Experience of using standard Bangor University HR systems (Agresso, Talentlink).- Skills/Abilities_
