**About NIOX**
In order to support these activities we are currently seeking a Finance Administrator.
**Key Responsibilities of Role**:
The Administrator supports and works closely with the Assistant Accountant to ensure the smooth running of the Oxford office, including the Finance department, by undertaking many of the administrative tasks of the business.
Under the supervision of the Assistant Accountant the Administrator may be asked to do the following:
Office administration
- Inventory and purchase of stationery equipment and office sundries
- Management of office contracts such as cleaners and printers
- Arrange catering and other support as needed for internal and external meetings
- Support with travel bookings for the executive board
- Fulfil the role of fire marshal and first aider for the office
Finance administration
- Receive and process sales orders accurately
- Raise and send sales invoices to customers, and follow up for payment
- Receive, match and code purchase invoices, including credit card
- Maintain the Purchase Ledger database, ensuring the Purchase Orders, invoices and payment requests are in line with company purchase policy
- Prepare and run weekly payments based on payment due dates
- Process the regular expenses payments, including VAT calculations and postings
- Set up new suppliers and customers on the system, and maintain the existing entries with up-to-date information
**Qualifications and/or experience required to perform the role**:
- An Administrator with a keen eye for detail and high level of organisation.
- Experience in Finance, or a keen desire to develop in this area, is a must.
- Proven flexibility, able to manage and prioritise different tasks on a daily, weekly and monthly basis.
- An ability to meet strict deadlines.
- A methodical and organised approach to assigned tasks.
- Excellent time management skills.
- Experience with accounts software highly desirable.
- Good Excel user.
- Excellent problem-solving skills.
- Proactive communicator.
**Office Location**
This position is based in our Global Head Office, situated on the Oxford Science Park which is easily accessible via all modes of transport. The Oxford Science Park has excellent on-site facilities for colleagues, such as The Magdalen Centre and the Sadler Building providing both hot and cold food and beverages. In addition, the Oxford Science Park houses a private nursery for children aged 0 - 5 and is rated as “Good” with Ofsted.
Our Human Resources, Finance, Marketing, Sales and Customer Service teams operate from Oxford as well as some members of our Executive Leadership Team.
