**Main role and purpose of position**

To provide a high quality triage and administration service. The post holder will be the first point of contact at NOAH for visitors, donors, clients and telephone callers.

Excellent communication skills in person and by telephone in a way that is consistent with the caring ethos of NOAH is important.

A good working knowledge of Word, Excel and Outlook is required along with initiative, accuracy and experience of compiling and administering databases.

**Main duties and responsibilities**

Meeting new service users and registering them before offering support

Maintain the appearance of the reception area, providing a welcoming environment

Manage a telephone switchboard, transferring calls and taking messages

Open, record, and distribute all incoming mail

Manage the Evening Meal Service and Kitchen Volunteers and their rotas, ensuring adequate and appropriate cover. Circulate rotas as required

Deal with the administration of the NOAH Welfare Centre Volunteers In liaison with the Volunteer Coordinator, from first point of contact to commencement and report Welfare Centre volunteer hours

Deal with receipt of goods and donations, and arrange onward movement. Acknowledge donations and maintain record of donors

Monitor and order stationery supplies for the Park Street site and keep the reception stationery cupboard stocked with essential day to day items

Photocopying, printing and laminating as required

Manage key allocation for the Welfare Centre

Provision of administrative support to the Welfare teams where necessary

Ensure confidentiality of all paper and electronic records, complying with NOAH policies and procedures at all times

Provide Welfare Centre tours and inductions for visiting professionals

Support the Welfare Centre Manager in maintaining upkeep and health and safety checks of aspects of the premises

**Qualifications and experience**

Previous experience of working reception or other busy customer-facing role

Excellent communication skills

Good working knowledge of Microsoft Office including Outlook

Experience of maintaining administrative systems

Ability to organise and prioritize your work, and manage multiple tasks

**General**

Act as a representative of NOAH Enterprise always and in a manner befitting the organisation

Take a responsible approach to your personal development - manage and update own skills base to ensure quality service delivery and engage fully with all training offered

The post holder may from time to time be asked to undertake other duties as specified by the line manager. Permanent changes to the job description will only be made in negotiation with the post holder
