Job Title : Band 3 Personal Secretary
Location : Belfast BT8
Duration : 3 Months
Rate : 11.11 p/h
Hours : 37.5 hpw

Main Duties / Responsibilities:

- Make full use of the IT systems available to produce work of a consistently high standard.
- Be proficient with the use of Excel, Access, Powerpoint and Word packages.
- Maintain RESWS databases.
- Maintain current workforce contact details
- Support RESWS managers in the use of HRPTS and FPM.

CUSTOMER SERVICE
- Receive telephone calls deal with enquiries and co ordinate information in an efficient, courteous and friendly manner.
- Ensure quality standards are adhered to in all aspects of this employment.
- Ensure a high quality administrative service is provided to both external and internal stakeholders at all times.

ADMINISTRATION
- Audio typing and word processing.
- Diary management to include Outlook diary.
- Note taking at meetings as and when required.
- Typing, to include letters, reports, memos, forms, presentations, invitations, untoward incidents etc. and circulation of correspondence to designated timescales.
- Upkeep of all office forms and all associated photocopying.
- Set up and maintain a brought forward system..
- Set up meetings via Outlook.
- Assist in the collection, collation and production of statistical information.
- Administration and recording of financial documentation.
- Provide cover for the Team Administrative Assistants to cope with workload variation.

Essential Criteria:

- Four GCSE’s including English Language (Grades A-C / 9-4) or equivalent qualification and one years’ administrative experience.

OR
NVQ Level 2 in Administration and one years’ administrative experience.
OR
A minimum of two years’ administrative experience.
- Experience of note taking/minute taking duties.
- OCR/RSA Stage 2 Text Processing Part 1 & 2 Word Processing/Typing.

OR
12 months typing experience to include typing of reports, formatting and circulation of correspondence, use of Microsoft packages (Word, Excel, etc.) and general word processing.
- Experience in the use of Microsoft Packages, Word, Excel, etc.
