The role will be Hybrid Remote, with the successful applicant within a commutable distance of our offices in Aylesbury, Buckinghamshire.
**Key Responsibilities**:
**Calendar Management**:
- Manage the executive's calendar, scheduling and coordinating meetings, appointments, and travel arrangements.
- Prioritise and communicate schedule changes or conflicts effectively
- Handle incoming and outgoing correspondence in a professional and timely manner.
**Travel and Logistics**:
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Prepare travel expense reports and ensure adherence to travel policies.
**Meeting & Event Coordination**:
- Coordinate and organise meetings, conferences, and events, both on-site and virtually.
- Prepare meeting agendas, documents, and take detailed meeting minutes as required.
- Arrange refreshments for meetings, as required
**Document Management**:
- Create, edit, and format documents, presentations, and reports.
- Maintain organised filing systems for easy document retrieval.
**Communication**:
- Serve as the main point of contact for the executive, handling phone calls and enquiries, and relaying messages effectively.
**Research and Analysis**:
- Conduct research on various topics and provide relevant information to support decision-making and presentations.
**Expenses Management**:
- Track and manage expenses, prepare expense reports, and reconcile credit card statements.
**Confidentiality**:
- Maintain strict confidentiality and handle sensitive information and documents with discretion and professionalism.
**Project Support**:
- Assist in managing special projects by coordinating cross-functional teams and tracking project progress.
**Office Management**:
- Oversee office supplies and equipment, ensuring a well-organised and functional workspace.
**Qualifications/Skills**:
- Proven experience as an executive assistant or in a similar administrative role.
- Exceptional organisational and time management skills.
- Proficiency in using office software and tools (e.g., Microsoft Office)
- Strong written and verbal communication skills.
- Ability to maintain strict confidentiality and handle sensitive information.
- Adaptability and the ability to work under pressure and prioritise tasks effectively.
- Problem-solving and decision-making skills.
- A professional demeanor and strong interpersonal skills.
- Bachelor's degree or equivalent experience preferred.
