**The role**

We need someone to manage the office, organise events and meetings, and coordinate and produce internal papers and reports. You will also look after our data management system, run our information, signposting and enquiries service, and you will use our social media accounts to help raise awareness of our work and build public engagement.

**Who we're looking for**

You will be someone who has experience of dealing professionally with people on the telephone and be a confident administrator with knowledge of all Microsoft packages and database systems. With event planning skills and extensive social media experience.

**Main duties and responsibilities**
- Provide administrative support for Healthwatch Wolverhampton events ranging from focus groups to our annual event/tour (e.g., room booking, catering arrangements, handling enquiries and bookings, registration and liaison with delegates).
- Working with the Evolving Communities Comms team, support and provide assistance with the development and maintenance of the Healthwatch Wolverhampton website posting news and events, create regular social media posts, provide support in the production of a range of reports including our Annual Report and case studies.
- Monitor levels of Healthwatch Wolverhampton literature and promotional items and ensure regular maintenance of stock levels.
- Develop mailing lists and monitor Healthwatch Wolverhampton media coverage recording activity, regularly reporting it to the Evolving Communities Comms team.
- Ensure data filing and recording systems, both electronic and paper based, are maintained effectively and comply with the Evolving Communities Data Protection Policy.
- Coordinating meetings and diaries for staff and Board Members where required.
- Preparation for meetings, printing and photocopying materials, preparing agendas and writing minutes.
- Provide general admin support to the Healthwatch Wolverhampton staff team.
- Inputting data into the Healthwatch Wolverhampton CRM database, maintain mailing lists and contact records.
- PA duties, as required, to the Healthwatch Wolverhampton Manager and Board which will primarily mean managing diaries and ensuring that people have the papers they need to be prepared for meetings; taking minutes as required.
