Job Description Summary:
The primary responsibility of the Resource Coordinator is to support the Resource Manager in resourcing for all potential and assigned projects.
Job Description:
JOB PURPOSE- To oversee and resource the design department for Havas London, Havas Helia & Field Day- To run and manage the agency’s weekly Design status and allocate resource appropriately- To approve all holiday requests for the design dept.- To assist the Head of Operations in various admin duties including freelance contracts and freelance timesheets.- 50% of the role will be working with Havas Helia to assist with creative, strategy and design.
KEY TASKS & RESPONSIBILITIES (Client, Financial, People and Process)- Resourcing for all design briefs for the agency ensuring that resource arrangements are in place to meet all project requirements. Actively involved in facilitating the resources and in the hiring of freelance resources for specific projects- Running the design status meeting each week, working closely with all producers, new business & Havas Helia- Ensuring that all design department members receive clarity of their forthcoming deployment in the form of a design brief.- Approving timesheets for design and freelance.- Approving holidays and notifying the creative producers when they are on annual or sick leave-
- Maintaining the creative department holiday chart- Excellent communication, organisation and people skills and able to develop strong relationships.- An enthusiastic team player with energy to take responsibility for the core team- Ability to anticipate and proactively manage projects- Confident and comfortable commanding a room and pulling a team together- Flexible to work up and down levels to get the job done- Strong negotiation skills- Take risks - don't play too safe- Look for opportunities to build the agency's business- Stays calm under pressure, positively focused and minded- Establishes strong and positive working relationships with the wide range of stakeholders interacting with and actively engages in enabling an Open culture that facilitate Long Ideas to be developed- To maintain and sustain an effective team working environment, facilitating an effective work environment where all resources are optimally deployed and emotionally engaged to contribute their creative best to the agency
