Overview:
We are looking to recruit an Executive Assistant to provide critical support for our Regional Managing Director & Regional Broking Director here at Gallagher Glasgow.

We are looking for an experienced Executive Assistant with exceptional organisational and communication skills to support the senior management in ensuring their day-to-day operations run smoothly.

This is an onsite role based in the Glasgow office, 5x/week.

**Responsibilities**:

- Manage calendars and schedule appointments: You will be responsible for organising the RMD & RBD’s schedules, setting up meetings, and ensuring that all appointments are properly scheduled and communicated.
- Coordinate travel arrangements: You will arrange travel accommodations, including flights, hotels, and transportation, for the Directors and any other team members as needed.
- Organise meetings and events: This includes coordinating logistics, such as booking meeting rooms, arranging catering, and preparing materials. You may also be responsible for taking meeting minutes and following up on action items.
- Manage Documents and Records: You will maintain important documents and reports. You will also be required to prepare presentations and reports
- Conduct research: You may be asked to gather information and conduct research on various topics, such as market trends, competitors, or industry regulations.
- Maintain confidentiality: As an executive assistant, you may have access to sensitive information, so it is important to maintain confidentiality and handle all information with discretion.

Qualifications:

- Experience of providing Exec level support.
- Experience within the insurance industry would be beneficial.
- Comfortable working autonomously and across multiple tasks.
- Excellent interpersonal and social skills. Able to operate with diplomacy, tact and empathy.
- Excellent problem-solving skills and an outstanding communicator at all levels.
- Confident managing complex and highly confidential information.
- Highly proficient in all MS Office packages with a strong focus on diary management and Outlook 2010 onwards (specifically strong PowerPoint skills).
- Eligible to work in the UK.
