Job Title : Band 2 Clerical Officer

Location : Derry

Duration : 4 weeks initially

Rate : £11.45p/h

Hours : 30hpw

**Principle Duties**:
The post holder will be required to work on his/her own initiative to:
1. As the first contact person for the resuscitation service must be courteous, professional and approachable in dealing with queries via telephone, e mail or face to face to ensure a high standard of customer care on behalf of the service and the Trust.

2. Provide comprehensive administrative support which would include putting courses on HRPTS and monitoring bookings, preparing draft correspondence, payment of invoices, reports, agenda, notes of meetings and presentation of material using Microsoft packages i.e. Word, Excel, Powerpoint and Outlook.

3. Maintain diary/electronic calendars.

4. Assist with arranging meetings, training courses, to include advertising, booking venues and video conferencing.

6. Liaise with staff within other Trust departments and external organisations.

7. Assist with quality assuring information input onto relevant databases to include monitoring uptake of course places on HRPTS and other databases to identify and advise staff of places left and to liaise with the Resuscitation Officers re action plans to maximise course attendance.

8. Production of summary/statistical reports from relevant databases.

9. Maintain a record of training provided by the Department.

10. Develop and maintain efficient office systems ensuring that relevant files and documentation are made available for meetings and stored efficiently.

11. Develop and maintain existing filing systems to include BF system.

12. Photocopy information when requested and to maintain course handouts.

13. Deal with incoming and outgoing mail on a daily basis.

14. Ensure that all telephone messages are passed on to the appropriate person in a timely and effective manner.

15. Ensure adequate supplies of stationery are available.

16. Contribute to the development and maintenance of administrative procedures.

17. Book out equipment to cascade trainers.

18. Assist other members of staff within the Department as necessary.

Essential Criteria:
2yrs Admin/clerical experience that must include using databases and spread sheets to produce reports, in lieu, of required qualifications.

Qualifications:
5 GCSEs (Grades A-C) including English Language or equivalent or higher educational standard and a minimum of 1 year’s administrative/ clerical experience that must include using databases and spread sheets to produce reports.

**OR**

NVQ level II Business & Administration or equivalent and a minimum of one year’s administrative/ clerical experience that must include using databases and spread sheets to produce reports
