Project-document Administrator

As a Project-Document Administrator you will be a key contributor to the following:
1) Supporting the team to meet their goal of perfect delivery of every project, first time and snag-free.

2) Ensuring a happy team by providing strong and timely communication and solving problems in partnership with the rest of the team.

3) Meeting our business objectives, by supporting the team, and developing an understanding of what drives a project whilst ensuring visions and ambitions are captured and mutually agreed upon.

**Key Responsibilities & Duties**:

- Be the champion of Qube our bespoke computer system and assist in making sure the project teams workflows are maintained
- Working with our document control systems Procore & Yardi
- Logging works requests on our systems and setting up the works channels on MS teams
- Setting up new contractors / suppliers and helping get quotes from suppliers
- Raising and issuing purchase orders
- Allocating and ensuring invoices are signed off or disputed
- Prepare Capex sign forms for submissions
- Attend site meetings as and when required
- Sharing and collating O&M information with the FM team
- Managing the teams filing systems
- Reserving materials for the project/construction managers
- Take meeting minutes as and when required
- Sophisticated communicative and effective expressive skills, both written and verbal
- Flexible and adaptive to cope with fast track projects and changing team requirements
- Use critical thinking to allow problem solving
- Organising accommodation/transport for the team
- You need to be a team player that can work on your own initiative

- Proficiency in MS Team, Excel, Word and Power Point
