The Role

Do you pride yourself on your abilities to help a team run smoothly? Do you value the variety of details and logistics involved in event organisation and travel management? The newly-funded ESRC “Digital Footprints Data” Strategic Advice Team, led from Newcastle University, seeks a Project Administrator to help organise workshops and events, manage catering, room bookings, meeting scheduling, and travel, and provide organisational expertise to help ensure that the Team is able to focus on engagement with the ESRC and key Digital Footprints Data stakeholders.

The Project Administrator will join the School of Geography, Politics and Sociology, working with Newcastle University’s Data Centre of Research Excellence (Data NUCoRE) and Centre for Urban and Regional Development Studies (CURDS). We are an open and friendly group, with a diverse range of research interests and an appreciation for the indispensable skills a Project Administrator brings to the table.

This post is a full-time post for 24 months.

Key Accountabilities
Arrange travel and accommodation bookings, ensuring best value for money is achieved whilst adhering to University regulations
Undertake purchases on accounts to ensure that transactions are recorded accurately and efficiently in compliance with all relevant internal and external regulations (e.g., VAT, funder regulations)
Receive, check, process and record fee and expense claims, complying with internal accounting procedures and external regulations and resolving queries where required Organise logistics (catering, meeting room bookings, participant invitations, et cetera) for in-person workshops, Team meetings, and Data Dives
Service meetings, producing minutes, circulating documents, agreeing agenda items and following up action points
Provide project financial management for accounts, including budget management, regular reporting, in liaison with Contract Financial Management and the Grants and Contracts teams
Create and manage efficient office systems to ensure effective record keeping across all aspects of project administration, advising colleagues on the correct procedures to follow, ensuring University and funder requirements are met Maintenance of project websites
Planning, organisation and promotion of events, including financial management, advising event organisers where necessary and liaising with the Conference Office
Any other duties within the scope and general nature of the grade which may be required from time to time

The Person (Essential)

Knowledge, Skills and Experience
Understanding of regulations and processes, and their importance in large organisations
Experience of managing grants, budgets or financial awards
Excellent IT experience and confidence in the use of spreadsheets and/or financial software
Excellent communication skills and ability to work well within a team.
Excellent organisational skills with the ability to prioritise tasks and manage a variety of tasks

**Qualifications**:
Educated to GCSE standard with a minimum of grade C Maths and English
