The Partnerships Team Admin Assistant will be responsible for supporting the Executive Assistant (EA) to the Chief Partnership Officer & Chief Commercial Development Officer with all administration associated with the day-to-day management of the Partnerships and Partnerships & Development Teams.

Key Sectors:
The teams operate across all divisions: Street Furniture (incl. Telephony), Large Format, Rail, Retail & Airports.

What you'll be doing...
- Support the EA with the coordination & scheduling of internal & external meetings including meeting room bookings, car parking spaces, sourcing external venues and catering arrangements as required
- Support the EA and Partnerships Directors with the production of documentation required for internal and external meetings
- Liaise with relevant departments to ensure all information is obtained for reports and presentations
- Attend meetings and take accurate minutes/actions as required
- Book travel and accommodation for the Partnership Directors and wider Partnerships Teams in accordance with Company policies
- Ensure file records are maintained and update databases with speed and accuracy
- Support the EA with the organisation of partner events ad-hoc
- Provide full administration support with the day-to-day tasks such as:

- Regularly raising purchase orders and arranging for the payment of invoices
- Helping with setting up new suppliers
- Processing monthly expenses for the Planning Director
- Provide holiday cover for the EA where appropriate

A little bit about you...

You have good communication skills as well as good organisational and administration skills with a proactive approach. You have great attention to detail and can work well under pressure. You will be able to deal with sensitive information and always maintain confidentiality.

You can demonstrate strong dedication to a co-operative team approach. You are proficient with Microsoft Office (incl. but not limited to Outlook, Word, Excel, PowerPoint).

Knowledge of IT systems: Sage, Workday, Webexpenses, generally technology savvy.

Experience working within the OOH sector would be an advantage but is not essential.
