The post holder will be responsible for providing a high quality appointments booking and referral management service for Maternity patients. The role incorporates general office duties to all users of the service, in an efficient, professional, and responsible manner.

Functions of the role include providing excellent customer care, and close liaison with the Midwifery team, Obstetric team, Management team and the use of the Electronic Patient Records Medway and Medway Maternity.

An in depth knowledge and experience of Medway and Medway Maternity is paramount, to ensure the booking functions are carried out to the required high standards and to provide a speedy, reliable, accurate and professional service.

The Community Maternity Admin Support team are one of the first points of contact for Maternity patients; therefore it is important that the staff portray a caring and professional image.

GENERAL

To ensure that all communication are dealt with confidentially and discreetly and that a sensitive approach is used; to respect patient and staff confidentiality at all times.

Ensure all outgoing and incoming calls are introduced with the Trust name, department name and staff member’s name.

Liaise as necessary with Consultants, Midwives, health records, GPs as well as a range of other health professionals and departments within the Trust (for example, the wards, other specialities, health records, IM&T) to ensure that the department interfaces efficiently with them.

Raise any problems or queries with the relevant supervisor

Ensure compliance with all Trust policies and follow Trust codes of practice regarding any absence, annual, sick and other leave; sickness where possible must be reported to the Supervisor two hours before start of duty on the day of sickness

To act independently ensuring that daily tasks and ongoing workloads are prioritised and completed in agreed time frames as determined by the clinical team and/or line manager.

Undertake any other duties commensurate with the grade as agreed and delegated by your manager

To facilitate paper-lite working where appropriate and work with the team to improve processes

Work from other sites within Whittington Health when necessary e.g. community sites

REFERRAL MANAGEMENT

Ensure that all Maternity referrals are registered and dealt with promptly and appropriately ensuring that all information is complete, checking details against the national spine if required

Based on referral information, identify the correct team for new patients to be allocated to and provide them with new referral information

Work with the Community Midwifery team to manage booking/scan appointments for new patients as appropriate, ensuring these are made within the clinically appropriate timescales as set out nationally

Escalate any patient safety or clinical concerns around waiting times or bookings

Notify Overseas Officer of Private /Overseas Patients to determine NHS eligibility in a timely manner
