VPZ are the market leading UK based specialist vape and e-cigarette retailer. We currently have over 150 stores across the UK with more store openings on the way. We are looking for an experienced **Retail Administrator** to join our business.

**Responsibilities**:

- Maintain user access and permissions for various software systems.
- Prepare various reports using Microsoft Excel or Word.
- Collate interdepartmental updates and create weekly communications for mainline and franchise stores.
- Prepare weekly, monthly, and ad-hoc reports for the retail operations team and board of directors.
- Monitor and check for non-compliance within the retail pay run and expense submissions.
- Ensure field managers complete timesheets accurately and on time.
- Monitor reports to identify anomalies or non-compliance in areas such as store tasking and eLearning completion.
- Collate, draft, and distribute communications to the retail estate regarding updates within the business.
- Assist in creating and maintaining standard operating procedures (SOPs) for various aspects of the business.
- Book travel arrangements for retail staff.
- Record meeting minutes and distribute them as required.
- Manage and achieve role associated KPIs such as
- Team Travel Budget adherence to policy.
- Controllable Stationary Costs.
- Replenishable Goods Costs.
- Sundry Item Costs.
- Retail Staff Holiday Hours Managed to Contractual Commitment.
- Strong written and verbal communication skills.
- Strong numerical and problem-solving skills.
- Proficiency in using Microsoft Office programs, particularly Excel.
- Previous experience as an Administrative/Executive/Personal Assistant is beneficial but not essential.
- Ability to work in a fast-paced environment and prioritize tasks effectively.
- Competence in secretarial duties such as minute-taking and diary management.
- Ability to communicate and collaborate with stakeholders at all levels.
- Ability to work under pressure and use initiative.
- Respect for confidentiality and discretion.
