**Job Title: Administrator**

**Location: Luton, Bedfordshire**

**Hours: 40 hours a week (Monday to Friday)**

Tezlom is looking for an administrator to join a healthcare establishment to provide administrative support in the areas of Finance, HR, Purchasing & Facilities Management.

To undertake reasonable duties required by the Line Manager and/or the Senior Management team or Directors and Reporting to the Registered Manager of the department.

We're looking for hardworking individual with good communication skills and able to work in a fast paced environment.

**Responsibilities -**
- Track petty cash spend and reconcile on a weekly basis and oversee client bank account
- File invoices, ensure Registered Manager signs all invoices for approval
- Prepare monthly payroll data and pass to Registered Manager to sign
- Create HR files (citation)
- Issue recruitment paperwork to new employees
- Assist with on-boarding of new employees
- Maintain annual leave/sickness absence records
- Update training records and help organise training dates
- Maintain logs of DBS, appraisals and supervision
- Log daily post
- Monitor stock levels of stationery and initiate ordering process as required
- Monitor IT consumables and initiate ordering process as required
- Facilitate on-going contracts
- Log and manage day-to-day buildings maintenance
- Jointly oversee site file requirements
- Liaise with external agencies for facilities management
- Produce stats for manager
- Obtain quotes for any necessary site work
- Support with cigarette run (weekly)
- Record minutes for meetings and organise team meeting
- Oversee archive system and logs
- Answer phone
- Maintain and update key performance indicator log
- Oversee and maintain medical deposit log
- Log weekly discharges with senior management PA
- Liaise with IT/Infrastructure suppliers ( CCTV equipment,)
- Undertake such other duties as may be reasonably required by the line manager and/or the senior management team or director

**Essential criteria -**
- Minimum of Grade C in GCSE English and Mathematics (or equivalent Qualification)
- Previous experience of administration duties
- Confidence to work on own initiative
- Strong team player and inter-personal skills
- takes a proactive approach to problem-solving
- Strong organisational skills and the ability to prioritise multiple demands
- Proficient in using Microsoft Office and Outlook.
- Good written and verbal communication skills
- Strong customer service skills
- Ability to respond flexibly to the demands of the role
- Ability to engage in continuous professional development
- Ability to have an appreciation of and work effectively with people from a diverse background

**Desirable criteria -**
- Administration experience in a healthcare setting.
- Qualification in Business Administration or equivalent.

**Salary**: £19,500.00-£23,000.00 per year
