**Duties**

You will provide essential administrative and diary support to the Board of Directors, Leadership Team, provide administrative support for Office, Finance and HR, help the team with organisational projects and events, and assist the team with expenses, traveladministration, and office management. To do this, you'll have responsibility in the following areas:
**Board of Trustees Support - 10%**
- Scheduling board meetings and coordinating logistics such as preparing board papers
- Taking accurate meeting minutes and following up on action points from the meetings
- Maintaining a database to track key organisational decisions
- Supporting board appointments/re appointments and new inductions by providing administrative assistance
- Carrying out due diligence reviews for new board members under the guidance of the Chair or Director of Operations
- Planning away days for the Board

**Leadership Team Support - 30%**
- Manage diary of leadership teams Director of Advocacy and Director of Operations.
- Effectively organising meetings, including gathering agenda and relevant papers;
- Taking detailed minutes during meetings;
- Following up with all participants to ensure necessary action points are completed in a timely manner;
- Assisting with projects, reports, research studies, etc., as required;
- Tracking progress of deliverables and flagging for follow up when appropriate; and
- Supporting the leadership team with various administrative tasks and projects.

**Office Management 30%**
- Schedule regular all-staff meetings as well as ad hoc meetings when necessary;
- Provide general office support such as filing paperwork, ordering supplies, setting up meeting rooms etc;
- Organise events including project events and staff and teams away days;
- Carry out surveys or checks at request of management;
- Manage relationship with work space provider
- Liaise with external suppliers ensuring accurate invoicing and maintaining records of contracts;
- Assist with the onboarding of new staff members when needed;
- Take up other duties from time to time as required.

**Finance and HR Administration 30%**
- Providing financial & operational support including managing and processing supplier invoices, ensuring direct debit and card payments are processed on time. Liaise with our accountants to ensure that financial transactions are processed in the right manner.
- Manage the operations department budget and ensure that spending is within plan and value for money.
- Maintaining payroll records including starters, leavers, and staff absences for UK and overseas payrolls
- Assisting with recruitment activities such as posting job vacancies, sourcing CVs & arranging interviews etc.;
- Handling employee benefits administration.
- Developing and maintaining employee records in line with data privacy regulations;
- Supporting the HR team on various projects such as succession planning etc.;
- Acting as a point of contact for relevant staff matters; and
- Liaising with external bodies/providers to manage services.

**Skills & Experience**
- At least 5+ years of experience in an executive assistant or office manager role;
- Proven track record of successfully multitasking and prioritising tasks;
- Ability to maintain confidential information;
- Strong organisational and communication skills;
- Knowledgeable about corporate governance regulations; and
- Outstanding interpersonal skills.
