Overview:

- Work closely with the Group Executive, Executive Assistants (EAs) and other stakeholders to assist with logístical and administrative planning for US Executives and VIP client visits to UK and EMEA.
- Work closely with Corporate Security Manager (CSM) to ensure an aligned approach, ensuring visit itineraries and activities are coordinated
- In conjunction with Concierge Manager ensure meeting room suites are arranged and set-up to the highest standards and any necessary catering arrangement are made.
- In conjunction with Concierge Manager organise hospitality services for VIP and Executive visits, as directed.
- Manage and promote in-house chauffeur service.

**Responsibilities**:

- In conjunction with EAs, plan visit itinerary and resource accordingly.
- Support the CSM in visit planning ensuring that any changes or additions to visit schedules are communicated to stakeholders.
- Manage the in-house chauffeur and liaise with EAs and third parties for transport requests to support executive activities.
- Manage on-site hospitality events and assist with off-site events as required, for executive and client visits.
- Provide support to US executive requests for ad hoc services, including accommodation.

Qualifications:
**Qualifications**
- Must be qualified to GCSE level as a minimum - to include English and Maths. It would be an advantage to hold a recognised hospitality or customer service industry qualification.

**Technical Knowledge**
- Exceptional knowledge of customer/hospitality services with demonstrable experience of working with multi-functional teams in a service led background, or equivalent.
- Exceptional cross-functional collaboration and coordination skills.

**Experience**
- A proven track record of working within the hospitality or other customer service focused industry.
- Significant experience in providing exemplary levels of customer services.
- Experience of managing service delivery contracts and holding providers to account, ensuring KPI’s are achieved.
- Experience of handling confidential and sensitive information with discretion and professionalism.
- Previous experience of working within a high performing team.

**Skills/other**
- Excellent interpersonal skills, including listening, verbal and written communication skills with the ability to communicate effectively at all levels.
- Excellent social skills, able to operate with diplomacy, tact and empathy.
- Ability to build effective working relationships.
- Ability to manage confidential information.
- Comfortable working autonomously and across multiple tasks and reporting into different project working teams and staff members.
- Numerate with the ability to present and analyse data.
