Investment Governance Coordinator

**What you’ll be doing**:
We have an exciting opportunity for an Investment Governance Coordinator in our Finance& Commercial department some of the duties you’ll be doing are:
- Manage the smooth running of the monthly SGGC and IC meetings and ensure that governance adheres.
- Quality control all documents circulated to the business, including but not limited to; SGGC / Investment Committee submissions, meeting packs, reports, SAP data input.
- Provide effective meeting facilitation and secretariat to include minute and action taking at the meetings and pursuing outstanding actions.
- Manage the on-going maintenance of the Investment Committee Business Case and Excel templates and provide guidance to new users via training videos, lunch and learns, how to guides and one on one sessions.
- Keep all shared documents and templates up to date with any changes to the business.
- Create and maintain yearly calendars for future meetings.
- Provide timely funding release to approved projects and process budget transfer / release in SAP Project Systems.
- Work with PWC (external audit) to ensure they have all requested documentation in a timely fashion
- Ensure all controlled documentation is stored appropriately for auditing purposes and be the first point of contact for the half a year and year-end external audits.
- Working with internal stakeholders, such as, but not limited to: Capital Delivery, Asset Management, Digital, Project Managers and Teams; to scrutinise and challenge investment propositions and to support analysis of the SGGC / Investment Committee.
- Ensure the Investment Governance processes are embedded within the entire program and that functions, responsibilities, processes, and procedures are in place, communicated, and understood by those following them.
- Work with the Outcomes Assurance team (within Asset Investment) to maintain the governance watch list for project checks, and projects out of, or moving towards being out of, governance
- Responsible for conducting and completing effective Post Investment Appraisals each year, ensuring lessons learned are captured and fed back into the governance process and the Integrated Business Plan.
- Support the Investment Governance Controller and the Head of Investment Governance with continuous improvement of the Investment Governance and Stage Gate processes.
- Complete special projects on an ad-hoc basis.
**What you should bring to the role**:
**Essential Skills**:
- Previous experience in a senior administrative role with the ability to communicate effectively at all levels (verbal & written).
- Good stakeholder management: capable of balancing different organisations’ requirements.
- Proven ability to take the lead in owning processes.
- Able to adapt quickly to changing situations.
- Be proactive and comfortable engaging with senior managers.
- Highly organised and ability to multi-task to meet various priorities and deliver an efficient service to the business.
- Able to work well in a team environment and build great stakeholder relationships cross-functionally.
- Excellent project management and presentation skills.
**Desirable Skills**:
- Experience in formal reviews, such as audits, and involvement in a program of assurance.
- Knowledge of corporate governance processes, terminology, and experience of project management practices advantageous.
- Microsoft Office software proficiency (particularly EXCEL and PowerPoint), exposure to SAP beneficial.
**What’s in it for you?**
As the Investment Governance Co-ordinator, you will be responsible for the coordination of the monthly Stage Gate Governance Committee (“SGGC”) and Investment Committee (“IC”), interfacing with the ELG and Exec. You will manage the preparation of materials, processing submissions and change forms, ensuring the organisation of the meetings, and that they run smoothly. You will deliver best practice control, assurance and governance services.
A key part of the role involves networking internally with key stakeholders, and you will act as an advisor to the business on Governance processes. You will communicate to the business updates or changes to the Governance processes, ensuring the Investment Governance SharePoint site, SAP and other databases are kept up to date. You will strive to continuously improve the Governance processes and ensure that they are fit for purpose, complying with best practice and relevant legislation, and are aligned with the Company’s strategy and public value framework.
