Hours: Full time: 37.5 hrs / Part Time Considered

Contract type: Fixed term to end of March 2024 with potential to extend

Reporting to: Operations Manager

The role

This role will provide support and assistance to the Operations Managers within the Services. The successful applicant will have a background in operational and administrative management and be organised and enthusiastic with the ability to juggle multiple priorities in a fast-paced environment, in addition to a strong team culture and a willingness to achieve. You will have unstinting attention to detail to achieve high quality delivery, you will work with a range of internal stakeholders to get things done.

We currently provide two services the home visiting and social prescribing which signposts patients to various services. These require delivery within an extremely busy and demanding schedule and therefore need support and assistance to ensure operational success.

In addition to your core role, you may be called upon to support other areas from time to time and will have the chance to be involved in a range of initiatives and training opportunities to help you to develop your skills and career.

**Responsibilities**:
**Operations Management**
- Working with the Operation Manager, you will support and assist with the delivery of the services.
- Contribute to the preparation of compelling, coherent, reports and communication both internally and externally.
- Supporting clinicians and workers operationally to enable them to carry out their duties effectively
- Communicate to practices to support, and further the service as well as clinicians
- Survey patients to assist with quality improvement within the service
- To coordinate, attend and provide administrative support for meetings. To disseminate information from these meetings to others as necessary
- Assist in scheduling staff and inputting rosters, identifying any potential issues.
- Highlight new ways to innovate within the context of the project(s) and services, contributing to the overall thinking in their direction and delivery
- To ensure information regarding unresolved matters is handed over to colleagues
- To attend meetings and training sessions as required
- Ensure that staff have the resources and materials they need to do their jobs effectively
- Any other duties as reasonably required

**Planning and organisation**
- Understand the needs of your staff and ensure you are able and available to support them
- Identify the tools and processes needed to provide a seamless service to staff
- Respond to daily priorities using a range of planned and unplanned approaches that balance internal customers’ individual needs with wider organisational requirements
- Proactively respond to feedback to deliver a high quality, valued service at all times

**Quality**

The post-holder will strive to maintain quality within the practice, and will:

- Alert other team members to issues of quality and risk
- Assess own performance and take accountability for own actions, either directly or under supervision
- Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the team’s performance
- Work effectively with individuals in other agencies to meet patients’ needs
- Effectively manage own time, workload and resources

**Health & Safety**

The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, and the Infection Control policy and published procedures. This will include:

- Using personal security systems within the workplace according to practice guidelines
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Reporting potential risks identified
