The team provides dedicated HR support and advice to colleagues across the organisation to ensure fair and consistent treatment, with a focus on wellbeing and on the resolution of issues as the earliest possible opportunity.

The team focuses on ensuring that the SG employee experience is a positive one which takes into account individual circumstances, the Fair Work principles and the ambitions of the SG.

There are circa 30 staff in the HR People Advice team supporting a diverse range of business areas across various locations throughout Scotland. In this role, you will provide support to HR People Advice colleagues and take ownership of various administrative processes within the team.

This is a fast-paced role and would suit an individual who has administrative experience, preferably in an HR environment or similar. This is an exciting opportunity to begin a career in a public sector.

**Responsibilities**:

- Manage the HR Online service tool and Team’s mailbox on daily basis. This will include reviewing and triaging each query to the appropriate HR People Advice colleague. You will also be responsible for responding to general enquiries and highlighting trends in enquiries to your Line Manager.
- Assist HR People Advice colleagues with Subject Access Requests (SAR) and Freedom of Information (FOI) Requests as and when required by collating information and documents or using redacting software if appropriate.
- Purchase equipment for the Team and SG colleagues using ePC cards or the Corporate Purchasing Order system.
- Take responsibility for the administration of our processes relating to the management of SG staff on career breaks, our probation confirmation procedures, job grading requests and modern apprenticeship programme.
- Undertake early intervention work by contacting line mangers at the 3 month stage of probation, to check on performance, conduct and attendance and escalate cases to HR Advisers.
- Ensure the information on the fit notes is recorded and fit notes uploaded to the HR system, trial automation initiative and make recommendations.
- Engage and take part in Team’s meetings and projects, contributing to new ideas and continuous improvement.
- Assist with other administrative tasks for the team as required, this may include note taking at formal meetings.

1. Evidence of excellent planning, administration and organisational skills, with a flexible approach to managing tasks in order to meet changing and conflicting demands.

2. Evidence of working collaboratively as a team, maintaining good working relationships and contributing to the team’s overall performance.

3. Evidence of excellent interpersonal and communication skills, with an ability to communicate clearly with a variety of internal and external stakeholders/audiences.

4. Proven attention to detail and ability to use IT packages including Microsoft Word, Excel and Outlook to collate and present information and to support data processing.
