**Role objectives**
- Provides administrative support to the Estates Services including Projects/Variations
- Co-ordinates and implements office procedures and frequently has responsibility for specific tasks
- Communicate effectively with Estates management team and employees; Senior Managers and Clients
- Is a central point of information for office issues, meeting bookings and office equipment including IT
- General office duties
**Main duties**
- Central point of contact for communication with all parties dealing with enquiries in relation to all services
- Use a variety of software packages (including Excel, Access and Powerpoint) to produce documents and reports as required
- Liaises with Mitie IT to ensure IT equipment in the contract is fully operational
- Supports the department with finance and payroll duties
- Undertakes general administration tasks - takes notes, collates information & produces reports
- Prepares and collates statistical data reports for the service to meet reporting deadlines
- Undertakes additional duties in line with capabilities as required to fulfil requirements needed by the contract
- Communicates effectively with all the teams to ensure there is a seamless way of working across the contract
- Utilises the internal HR systems, people support services and guidance to promote best practice
**Projects specific tasks**:
- Send out tender documents
- Receive tender documents and issue to the team on stated deadline days
- Receive / upload digital variations
- Raise orders to the contractors
- Form project H&S packs
**Person Specification**
- Has similar experience in an administration role.
- Has a strong standard of both literacy and numeracy skills
- They possess an intermediate knowledge level of all Microsoft office packages. Fully competent in the use of PCs and other types of technology
- Has developed excellent written and verbal communication to support them in their role.
- Fully capable of understanding and maintaining the confidentiality across the site and respecting the needs of all stakeholders.
- Works well under pressure to meet the challenging deadlines
- Has the ability to effectively plan and manage own workloads, however understands when to ask for support when needed.
- A team player with strong interpersonal skills and the ability to interact at all levels.
- Demonstrates a positive 'can do' attitude and can flex their style to meet the needs of the business
- Represents Mitie and the client at all times in a professional, courteous and confident manner
