North Tees & Hartlepool Bookings Team aim to provide high quality service to patients, internal users and the local wider population.

As a multi skilled and professional team we aim to deliver an efficient and effective booking service as we strive to continually raise standards.

Responsible for the management of all outpatient clinics including clinic build scheduling, managing clinical rotas for all care groups and liaising with clinical leads to ensure rotas are embedded correctly.

Supervise a wide variety of administration procedures within the central bookings team as well as playing a pivotal role in assuring quality and timeliness of work, particularly in relation to the booking schedules.

To support staff when implementing new initiatives and performance demands whilst adhering to national waiting list targets.

Provide day to day supervision of the central bookings administration staff, including first level grievances, discipline, appraisals, allocation of work, training and development.

Responsible for the management of outpatient clinics including clinic build, scheduling and alteration as requested by care groups or clinicians. Managing clinical rotas for all care groups and liaising with clinical leads to ensure rotas are scheduled correctly.

To continually validate all outpatient clinic sessions to ensure maximum utilisation, also being proactive by negotiating with consultant and care group leads creating extra/alternative clinic activity as required.

Work to achieve agreed objectives whilst managing own workload and working on own initiative. Working within organisational policies without supervision, with advice from line manager when required.

Deal with complex queries from service users regarding Trakacare and the booking process, signposting where necessary.

Ensure data protection and procedures are adhered to and data quality is to a high standard.

Responsible for providing day to day supervision of the central bookings administration staff, including first level grievances, discipline, appraisals, allocation of work, training and development.

Responsible for the management of all outpatient clinics including clinic build scheduling and alteration as requested by care groups or clinicians. Managing clinical rotas for all care groups and liaising with clinical leads to ensure rotas are embedded correctly.

Ensuring own compliance and that of others regarding mandatory training, holiday/sickness and record this on ESR. Monitor and report excess sickness levels to manager.

Manage and co-ordinate the development and implementation of new trust and NHS initiatives, working in collaboration with all stakeholders to ensure that they are successfully incorporated into the main stream service delivery.

Deal with complex queries from service users in a manner that is consistent with legislation with policies and procedures.

Answering queries regarding Trakcare from all trust users, signposting where necessary.

Assist the team manager to provide responses to patient and administrative complaints.

Work to achieve agreed objectives whilst managing own workload and working on own initiative. Working within organisational policies without supervision, with advice from line manager when required.

To undertake annual appraisals for administrative staff identifying any development needs and agreeing a personal development plan ensuring any issues or poor competence is addressed.

Ensure data protection and procedures are adhered to and data quality is to a high standard.

Promote an environment and culture which improves health, safety and security. Actively working towards reducing sickness absence, workplace accidents and promote zero tolerance on violence and aggression towards staff.
