**Volunteer Coordinator Responsible to**: Head of People and Workforce Accountable to: Chief Executive Officer Salary: £26,372 - £30,256 per annum, depending on experience Hours: 30 to 37.5 hours per week Summary of role To support the development of volunteering roles at The Shakespeare Hospice, ensuring the contribution of our volunteers is maximised and celebrated. To coordinate the recruitment, induction, training and retention of volunteers, supporting the volunteer experience across the Hospice. It is envisaged that the post holder will take particular responsibility for clinical volunteering roles which support Hospice activities and also the Compassionate Neighbours roles. To actively promote The Shakespeare Hospice as the place of choice for volunteering in South Warwickshire.

There will be a requirement to support some elements of clinical administration across services which will involve developing a working understanding of the EMIS (Electronic Patient Record) system. Responsibilities: To work with the Head of People and Workforce, and the clinical teams as appropriate, to develop, implement and evaluate processes for recruitment, onboarding and training of volunteers, ensuring that volunteers are welcomed to the team and effectively inducted and trained to maximise their contribution. To work closely with clinical staff to develop and implement processes for matching the skills, competence and availability of volunteers with the needs of patients on a day-to-day basis. This will include a simple assessment process of need for the Compassionate Neighbours which may require visiting patients/clients homes.

To play an active role in the development, delivery and evaluation of training for volunteers, including face to face training. To support the process of maintaining volunteer records, ensuring that all administrative processes are followed in accordance with Data Protection regulations. This includes ensuring that records are kept to evidence training completed for compliance and reporting purposes. To ensure the volunteer experience is the highest quality, liaising with the Head of People and Workforce and other managers of volunteers to enhance recruitment, training and management practices to support and engaged and committed volunteer workforce.

As part of this, to deliver training to volunteers as required. To take a proactive lead in the process of arranging and facilitating regular meetings with volunteers, providing encouragement, feedback and pastoral support. To work with the Head of People and Workforce to review all processes and procedures for volunteering in the hospice, ensuring that volunteers have access to the relevant information and that appropriate risk assessments are in place. To support the Head of People and Workforce in the development of ways to acknowledge and celebrate the contribution of our volunteers, such as recognition of long service and nomination for local and national awards as appropriate.

To promote The Shakespeare Hospice as a place of choice for volunteering in South Warwickshire by attending external events and building relationships in the community to attract and recruit a diverse range of volunteers. To support the Head of People and Workforce in the evaluation of the experience of volunteers, e.g. through engagement surveys, volunteer forums etc, developing and implementing action plans as appropriate. To be a point of contact for volunteers, and support volunteers and managers with any complaints or concerns which may arise during the course of volunteering.

Take a proactive role in the development of new volunteering opportunities across the hospice. To provide administrative support to the clinical teams as required in line with the volunteer role. This may include basic referral information collection and communicating with a range of people in often emotionally challenging circumstances. Provide support where required with the EMIS system, helping to manage general user problems and queries related to EMIS, with support from the IT department.

Utilise EMIS as part of the volunteer coordinator role in relation to patient/client information and data recording. Other Responsibilities: Adhere to all hospice policies and procedures. Undertake all mandatory training as required. Participate in the annual appraisal programme and regular performance reviews as required.

Develop and maintain good working relationships by working collaboratively with internal and external stakeholders such as clinical services, retail, income generation, support staff and external agencies/providers and supporters. Promote the work of the hospice, reflecting the hospice vision and values. Undertake any other duties commensurate with the post, as requested by your line manager/senior management.
