Office Administrator

We are seeking a confident office admin to support our Registered Manager. Based at our main office in Preston you will help in maintaining the day to day running of the office environment. You will need the ability to handle a variety of tasks (on occasions you will be required to work in our Bolton office) simultaneously, with strong administration and organisational skills, ability to multi-task and prioritise accordingly. This is a pivotal role which is very varied in nature in a fast-paced environment, where change is constant. The role would suit someone who is highly organised, able to work as part of a team where discretion and confidentiality is key. You will relish getting things organised and getting the job done, have a 'hands-on' approach and be capable of independently completing required functions, whilst
providing high quality administrative support to a demanding and very busy service
**The Office Administrator job description and responsibilities**:
Keep clean and organized files (paper & electronic) and all databases (creating new as is required)
Preparing correspondence, reports, and memorandums
Preparing relevant paperwork for new recruits and compiling personnel files in line with regulation
Monitoring Call Logging and preparing reports
Assisting with rotas when required
Scheduling meetings and appointments and maintaining the office diary
Maintaining an inventory of office supplies including PPE, ensuring stock levels are sufficient and not to excess
Assisting with collation of timesheets as is required
Directing and answering phone calls in a timely fashion
Making note of telephone calls and ensuring the relevant member of staff receives promptly
Maintaining and saving lists of contacts
Distributing and producing correspondence, including memos, forms, and letters as directed by the Registered Manager
Assisting with the preparation of periodically scheduled reports
Developing and maintaining all filing systems
Ordering most office supplies when required
Maintaining organised filing and archive systems
Reconciling and submitting information to the Accounts Department promptly
Welcoming and offering visitors an amount of general support
Excellent written and verbal communication skills.
Exceptional organizational skills
Minute Taking
Excellent working knowledge of Microsoft Office, such as Word,
Excel, Power Point.
Managing the Fire Log and guiding persons safely in the event of fire
The ability to take direction from a senior member of staff.
Be able to work to strict deadlines and possess excellent
time management skills.
Provide general support, including negotiating new business as directed
by the Registered Manager
To maintain all necessary registers and records
Adhere to and satisfy all compliance requirements
To liaise with colleagues and clients in a professional efficient manner
To willingly undertake any training required and ensure that personal
knowledge and skills are kept up to date
Make suggestions for improvement where this would benefit the future
**Office Administrator Requirements**
Past proven work as office administrative or assistant
Knowledge of various office management procedures and systems
Exquisite time management skills
Great multi-tasking skills
The ability to prioritize work
Great attention to details
Advanced problem-solving skills
Written and verbal communication skills
Very strong planning skills
Great organizational skills
Great proficiency in Microsoft Office and other around-the-office software
Training in First Aid.
Basic knowledge of Health and Safety.
Excellent interpersonal skills
A flexible hands-on approach to working.
