The Elvetham Hotel is an elegant country house hotel in Hampshire, rich in history and set in 35 acres of beautiful gardens. The hotel is one of the most historic sites in Hampshire entwined in the British Royal Family. The site can be traced back to as early as the 800's AD. Today the Estate consists of 91 bedrooms shared between the Main House and The Stables, as well as four unique and flexible function rooms.
Join our team as an Events Specialist and become the driving force behind unforgettable experiences at the Elvetham Hotel. As a key member of our dedicated Sales team, you will play a pivotal role in managing all aspects of meeting and event organising, ensuring an exceptional guest experience from start to finish.
In this dynamic position, you will serve as the ambassador for the Elvetham Hotel, harnessing your passion for organising events and creating lasting memories. From the moment an inquiry is received, you will expertly handle every detail, from conducting viewings to meticulously planning and coordinating each event. Whether it's an intimate gathering or a grand affair, you will have the opportunity to showcase our enchanting country grounds, stunning interiors, and captivating original features that never fail to impress.
What we offer
- £24,000 - £28,000 per annum, based on experience

**Duties & Responsibilities**:
**Administration**
Produce and distribute weekly wedding & special event function sheets, meal tasting and showround forms
Reporting on wedding & special events enquiry levels to Head of Sales on a weekly basis
Follow office procedures from initial enquiry up until the wedding day
Ensuring all HOD’s are communicated regarding any last-minute bookings, VIP show rounds etc.
Ensuring all lapsed leads / lost business and enquires are re-visited monthly in order to obtain competitor feedback
Maintain the reservation database/diary to reflect all booking details, amendments, cancellations etc.
Prepare and submit statistical information and issue performance and forecast reports, as necessary. Monitor availability on an ongoing basis.
Ensuring all room capacities and information is correct in C&B system.
Co-ordinating final details of all aspects of the wedding day
Liaising with Chef / ops etc to ensure perfect running order
Maintain prompt and accurate record of customer feedback and correspondence.
Keeps abreast of competition and its collateral, advertising, and marketing efforts and constantly evolving digital and marketing trends.
**Guest Services**
Ensure all enquiries and show rounds are handled professionally.
Effectively manage the booking process from receiving the enquiry, identifying a sales opportunity, converting it into a booking and clarifying client requirements.
Match successfully client requirements with positive approach to suitable events and weddings and hotel facilities aiming to maximise occupancy and revenue.
Upsell and promote the hotel facilities.
Check that all contracts have been sent, followed-up, signed and returned.
Ensure correct signage in the hotel lobby reflecting the couple, location and order of the day.
Communicate any changes (including amendments, special requirements, cancellations etc.) to operations staff and record them on the function sheet and database/diary.
Ensure all weddings run smoothly. Monitor operations and guest services.
Create and maintain a personal and respectful rapport with all those in wedding party and suppliers.
Attend to wedding couples when and where required.
Respond in a prompt and timely manner to all customer concerns and complaints.
Manage customer feedback and report to management.
Liaise with suppliers and be main point of contact for preferred suppliers list and agreements.
Conduct a review post weddings and all wedding related events of key wins and changes to be made
