The **key activities**of a **Receptionist and Administrative support **will include:

- Two days covering reception to warmly greet clients and customers, answering phone calls in a busy office and take messages for sales and property managers, schedule viewings, deal with general queries and log keys securely
- Assisting with accounts function and processing and allocating invoices reporting to accounts manager and providing holiday cover to this function
- Assisting as required with compliance co-ordination and review reporting to the compliance manager and providing holiday cover to this function
- Assist with property viewings as and when required conducting to company standard
- Reporting to Branch Manager, Lettings Manger and Directors
- Dealing with tenant enquiries, conducting viewings as and when required and following up viewings to secure new tenants ensuring cross selling where possible
- Deal with tenancy management and lettings administration to company standard
- Assist with property maintenance - raised under the property managers portfolio and help with others from time to time as required, and take appropriate action as required
- Proactively working with the lettings & sales team on a day to day basis ensuring effective use of time and allocation of tasks
- Effectively manage all Landlord and Tenant relationships to a high standard

Full training and on-going support will be provided, **applicants must have the following**:

- Excellent attention to detail
- A positive customer focused attitude and ability to deliver a high-quality service to both Landlords and Tenants
- The ability to articulate with clear communication skills
- Ability to work under pressure in a busy and fast moving environment
- IT skills with the ability to learn new systems
- Communte from time to time between our Inverurie and Aberdeen offices
- A full, clean UK driving licence

Working hours:

- 21 hours per week - specific requirement to work on a Tuesday and Wednesday from 8.30am, working pattern can be discussed further at interview; requirement to assist with weekend emergency cover on rota twice per year
